Job Description

Responsibilities:
  • Leadership role within the Office of the President (OOP) serving as the liaison for stakeholders such as: University Advancement; Academic Affairs; Enrollment Management; Business Affairs, Student Affairs; System Office; external consultants and other community representatives. Ensures seamless integration between multiple campus offices, A&M System and community stakeholders. Respond to any OOP inquiries from students, parents and other stakeholders.
  • Collaborate closely with the president in the implementation of the strategic plan. Build an atmosphere of coordination/alignment and a clear understanding of the university's strategic plan and institutional vision, which includes defined timelines outcome metric reports, dashboards, data assessment, goals and initiatives. Manage the strategic plan seed fund grants process and special initiative funding requests.
  • Develops cabinet agendas and manages follow-up actions with the President's Cabinet (PC). Consults with PC on key institutional or presidential initiatives including: strategic plan goals, initiatives and priorities.
  • Develops draft reports, presentations and communications on behalf of the President. Edits correspondence and documents prepared by PC members and other administrators as necessary. Responds to immediate requests from system office or government relations and apprises the president.
  • Leads a variety of short-term presidential initiatives (as needed) relative to university-wide projects such as but not limited to: A&M-SA anniversary, campus signage and artwork, book publications and external visits.
  • Organizes President's Roundtable meeting agendas with cross campus units and provides recommendations for campus-wide Power Hour sessions and convocations. This includes design, mailing and tracking of meeting invitations.
  • Consults with campus leadership in the development and administration of campus policies and external inquiries or problem resolution.
  • Assesses and recommends events/activities in which the President should be present (briefed and prepared).
  • Manages and maintains confidential information.
  • Provides guidance and oversees the budget for the President's Commission on Equity, Strategic Plan and special initiatives.
  • Oversees various staff functions and internal operations that occur within the Office of the President including serving as a liaison with President's Cabinet. Prepares and manages the OOP budgets. Manages quality control and timely follow-up (with the President's office staff) on key OOP initiatives, routine correspondence, cabinet follow-up, deadlines and matters of importance to the President.
  • Oversees thematic ideas and coordination with the University Events Manager to ensure the Presidents PR/Communications are integrated for all internal and external events. Organizes the daily operations of the OOP for efficiency, follow-through and proactive planning.
  • Ensures timely monitoring of communication deliverables that support the OOP and other supporting activities (i.e. nominations for faculty, staff or institutional awards). As needed, serves as a liaison on presidential communications with the University community on behalf of the President. Collaborates with Events Manager and university leaders regarding institutional vision and outcomes for significant on campus events such as Presidio Gallery, Fiesta, Commencement and Convocation etc.
  • Serves on a variety of internal university committees and taskforces to provide viewpoints on behalf of the Office of the President.
  • Responsible for compliance with Regents policies. Also, coordinates or leads Board of Regents meeting submissions (academic, financial, general) with the appropriate System personnel.
  • Works with Office of General Council (OGC) or system office to respond to Public Information Records Request manager as needed on behalf of the President.
  • Coordinates with the President as needed on pressing matters.
  • Maintains awareness and knowledge of contemporary issues within the A&M System and higher education in general.


Education & Experience:
  • Master's degree in Business, or related fields.
  • Five years' work experience administrative operations or academic operations in an executive level setting. Adept in advancing strategic initiatives. Knowledgeable with various forms of digital and traditional mediums. Proficient in computer skills for public presentations, graphics etc. Experience with interpreting and analyzing institutional data for public presentations, development/analyses. Experience working with confidential or sensitive information.


Preferred Education & Experience:
  • Ph.D. experience in public university (i.e. Masters or Comp-Doc). Experience with Office of the President Operations or other senior University academic or administrative offices.
  • Five years in public higher education, Office of the President or equivalent senior academic/administrative level experience. Preferable experience as an Associate Vice Chancellor/ Associate Vice President or director. Experience working with senior leadership at a university.


KSAs:
  • Ability to manage a senior executive office, collaborate with leadership and external officials to advance strategic initiatives.
  • Experience preparing executive level summaries and presentations that align with the OOP goals, objectives etc. and university priorities.
  • Proficient in systems planning, quality control, project management and budget/fiscal management. Effective communications both written and oral.
  • Proficient in systems planning, developing and implementing university wide strategic initiatives.
  • Skilled in digital communications, coordinating staff line functions, and skilled in operations management.
  • Experience in project management.


Preferred KSAs:
  • Comparable public university experience.
  • Administrative operations experience
  • LEAN or Quality Improvement
  • Data Assessment
