OVERVIEW:
Under the direction of an administrator, performs clerical duties and responsibilities to assist supervisor with administrative, procedural and clerical detail.

DISTINGUISHING CHARACTERISTICS:
This is the entry-level class in the Clerk series.  Positions in this class will normally perform under direct supervision most, but not all of the duties required of the Clerk II.  The Clerk I positions are not expected to function at the Clerk II skill level and will normally exercise less discretion and judgment in matters related to work procedures and methods.  Work is usually supervised while in progress or is performed within specific guidelines and fits a pattern that has been established and explained before the work is started.  Generally, changes in work procedures are explained in advance as they arise. Representative Duties

The duties recorded below are representative of the duties of the class and are not intended to cover all the duties performed by incumbent(s) of any particular position.  The omission of specific statements of duties does not exclude them from the position if the scope of work is similar, related or a logical assignment to this class.  The essential duties of the class are indicated with an asterisk *.

  1. Performs a variety of routine clerical and typing work related to the function to which assigned*
  2. Types letters, memorandums, reports, bulletins, charts, requisitions and other materials from rough drafts or clear copies*
  3. Compiles information from various sources and types on a variety of standardized forms*
  4. Checks and reviews data for completeness and conformance with established regulations and procedures*
  5. Sorts and files material alphabetically, numerically, and chronologically*
  6. Performs general receptionist duties*
  7. Answers telephones and provides routine information to staff, students, and the general public*
  8. Operates standard office machines*
  9. Maintains simple files and keep records*
  10. May serve on a variety of District committees as requested
  11. Performs other duties as assigned
Qualifications/Requirements

MINIMUM QUALIFICATIONS:

EDUCATION/EXPERIENCE:

  • Graduation from high school, G.E.D. or the equivalent*; AND
  • Six (6) months of experience closely related to the duties and responsibilities of this class

*High School education equivalency equals an adult education diploma or four (4) years of full-time, paid work experience.

  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity and sexual orientation and ethnic backgrounds of community college students and staff.

DESIRED QUALIFICATIONS: 

  • One (1) year of general office experience including general knowledge of computer software programs.
  • Hold and maintain a valid driver's license throughout duration of employment with the District.


KNOWLEDGE, SKILLS AND ABILITIES:
May be acquired through education, training and/or experience.

Knowledge of: District policies and procedures; modern office practices and procedures; correct language usage; receptionist, telephone and record keeping techniques; and computer hardware and software programs.
Ability to: understand and apply District and department policies and procedures; communicate and cooperate with other departments; establish and maintain cooperative working relationships with those contacted in the course of work; provide information pertaining to area and/or department policies and procedures and other pertinent information; utilize keyboarding skills commensurate with the required functions for this position; operate various office equipment including computers, typewriters, calculators, fax, copiers, printers, etc.; and follow oral and written instructions.

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES: 
No assigned permanent staff to supervise.  May provide work direction to student employees.

PRE-EMPLOYMENT REQUIREMENTS:

  1. The successful applicant will be required to complete a medical history questionnaire and must agree to undergo and pass a pre-employment physical examination, based on the physical requirements of the position, prior to employment. The physician will be selected and paid for by the District. Disabilities not related to the essential physical job requirements will not preclude the applicant from being hired.
  2. Education Code § 87408.6 states that no person shall be initially employed by a community college district in an academic or classified position unless the person has submitted to an examination within the past sixty (60) days to determine that he or she is free of active tuberculosis.
  3. As a condition of employment the position you are applying for will require that you provide fingerprints to the local police department. The fee charged by the Department of Justice (DOJ) for the fingerprint report is the employee's responsibility. If you should be offered this position you will be asked to sign a payroll deduction form which will authorize the District to deduct the fee charged by the DOJ from your first paycheck.
