The College and the District:
College of San Mateo, which was designated as a Hispanic Serving Institution in 2014, is part of the San Mateo County Community College District, which currently enrolls approximately 23,000 students, the majority of whom are from minoritized populations. Of the students at College of San Mateo, 3.0% are African-American, 0.1% are American Indian, 19.8% are Asian, 6.8% are Filipino, 19.9% are Latinx, 2.2% are Pacific Islander, 28.1% are White, 17.6% are Multi-Ethnic, and 2.5% are unknown.

Under general supervision, the Office Assistant II performs detailed clerical and operational support for a department or office. Under direction, the Office Assistant II initiates, implements, and coordinates office procedures and timelines in order to provide support for an office or department. Public contact is extensive, and involves College and District staff, faculty, students, vendors, other educational institutions, business and community representatives, regulatory agencies, and governmental agencies for the purpose of exchanging policy and procedural information. A moderate degree of independent judgment and creativity are required to resolve many minor and occasional major problems that arise, by selecting from among alternative procedures that are available. Consequences of errors in judgment could be costly in public relations, staff and employee time. The Office Assistant II classification can train and lead the work of volunteers and student assistants as assigned.
Duties and Responsibilities:
The duties below are representative of the duties of the classification and are not intended to cover all of the duties performed by the incumbent(s) of any particular position. 1. Provide clerical and programming support for the Child Development Center, including attending staff meetings, family meetings, and parent advisory committee meetings
2. Take notes, prepare agendas and minutes, and draft correspondence
3. Assist in planning and support for family involvement and staff development, including activities/workshops
4. Interface daily with children and families
5. Provide program, campus, and community information to the public (telephone, walk-in), including prospective student families
6. Provide general office operations support, including filing, photocopying, ordering supplies, and faxing
7. Order program supplies/materials and pick-up if necessary
8. Develop calendars of events and update community resource listings and website information
9. Develop brochures and flyers and display developmental information for families on bulletin boards
10. Maintain family files in accordance with regulatory agencies
11. Collect data and calculate totals for monthly and quarterly fiscal reports
12. Monitor student-parents daily attendance sheets in accordance with contract conditions
13. Prepare petty cash reimbursements, memo for purchase orders, and reimbursements from Associated Student accounts
14. Prepare work orders and schedule repairs
15. Handle and monitor daily food service: from delivery to classroom distribution
16. Prepare monthly bills for tuition
17. Coordinate staff fingerprinting
18. Assist teachers in classroom as needed
• Graduation from high school and college courses in child development, education, nursing, social sciences, psychology, business or a closely related field or an equivalent combination of education and experience• Experience with the use of computer software programs to file and retrieve data, prepare correspondence, reports, flyers, posters and other printed materials• Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff• Skill in oral and written communication• Experience with detailed manual and electronic record-keeping• Ability to work effectively as part of a customer service team
This classification requires manual dexterity; pulling, pushing, reaching; moving items of light to moderate weight; use of a keyboard and mouse for extended periods; and ability to operate a motor vehicle and drive to off campus locations in order to perform the essential functions.
