Duties: At Penn Engineering, the program coordinator will support the Penn Institute for Computational Science (PICS, the activities of PICS faculty and students located in the 5th floor of 3401 walnut street. PICS support: Reporting to the Director of Penn Institute for Computational Science (PICS) at Penn Engineering the Coordinator is responsible for supporting the academic, research, outreach and support functions of PICS. The tasks will involve but not limited to: (1) frequent interactions with Penn faculty and students, outside supporters, faculty from other universities and support staff (internal and external to Penn). (2) Organizing conferences (typically two large conferences per year), workshop organization (typically 6 per year), seminar organization (12 per year),. (3) assisting in preparation of reports of PICS activities including the annual report; recording meeting minutes and overseeing follow-up; maintaining academic and public websites including social media; preparing a monthly PICS e-newsletter; and coordinating and supporting the submission of collaborative grants between multiple members affiliated with PICS. 3401 Walnut support: Coordinator is responsible for supporting the activities of the large group of faculty and students (~60 people) in the SEAS PICS offices at 3401 Walnut Street. This includes scheduling/managing shared spaces; scheduling and managing small group events; supporting expense reporting; coordinating with other SEAS support and business staff for purchasing, supplies, maintenance; reception duties in this access-controlled space; supporting weekly center meetings/events.

Qualifications: A Bachelor's Degree and 2 years to 3 years of experience or equivalent combination of education and experience is required. High level of initiative, independent judgment and organizational savvy with the capacity to handle multiple prioritizes a must. Must be proficient in Microsoft Office, including Word, PowerPoint, Outlook and Excel. Prior experience working with faculty, students and coordinating events is preferred.
