Advertised Job Summary: - Provides administrative assistance to the Chair of the Division of Mathematics and Computer Science, including scheduling appointments and meetings, handling phone calls, meeting preparation, clerical assistance and more. Works with Chair and Assistant Chair to complete Fall, Spring, and Summer Academic schedule. Receives, screens, and prioritizes phone calls - answers pertinent questions or routes call to appropriate persons. Sorts incoming mall on a daily basis. Clerical and administrative duties as a needed/assigned by Chair, Assistant Chair, or other. - Responsible for retrieving and maintaining copies of university forms related to general operations. Maintains MCS departmental budget, inventory of and purchasing of office supplies, and preparing purchase requisitions for items not purchased by credit card. - Creates and submits work orders to Facilities Management as needed. Creates Travel Authorizations and Expense Reports using PeopleSoft as well as Payment Requests and more. Assists with search committees with search processes and search records. Processes HR actions for full-time and part-time faculty. Credit card liaison for the division. - Compiles information for MCS reports. Maintain roster of full-time and part-time faculty. Assist in obtaining information on students (SSC system or inquiries to Records, Financial Aid, Admissions, or other offices). Coordinates academic advisement, orientation, and registration process for MCS majors. Creates and maintains student records and databases for advisement and registration as well as assists students during advisement and registration. Assigns new advisers for new, transfer, and change of major students. - Other duties as assigned

Minimum Qualifications (Classified and Unclassified positions): Bachelor's degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency. Successful background check is required.
