I. JOB OVERVIEW

Job Description Summary:

The Sr. Registration and Records Assistant is responsible for student records maintenance, including grades and student information. This position also reviews student records for program compliance and registration compliance. The following is a more detailed description of how this position functions:
• Maintains student academic history to include setting up the online grading program provided to faculty, grade verification based on conformity with grading guidelines, input of final grades and upload/download of student information to University-wide database system. Performs more complex records maintenance activities to include data for LLM candidates, requiring a comprehensive review of data to ensure that students enrolled in the LLM program, which does not formally identify required courses, are taking a sufficient number of classes within declared field of study; notifies students of problems to include broken enrollment and passage of deadlines for degree completion.
• Answers questions and provides general advisory information to Law School students about curriculum course requirements, policies and procedures, registration, class locations, bar certifications, and graduation clearance; ensures information provided by the Law School Student Records Assistants and student workers is complete and accurate.
• Conducts clearance of students for graduation by running batch jobs of transcripts and reviewing them for compliance with residency requirements, required courses, legal writing requirements, credit hour requirements, and ABA regulations; follows up with each deficient student by letter and subsequent phone calls to advise of status and inform of actions necessary to meet graduation requirements. Conducts registration of law school students by registering first year students via on-line batch registration and by reviewing completion of course prerequisites before inputting upper class student registrations.
• Enters Law School schedule of classes into University-wide system and maintains automated telephone information line which records the status of closed courses and other relevant Law School information. Schedules classrooms for student groups and faculty.
• Assures that the information in the Directory of Bar Organizations, a source of information for students applying for DC and/or state bar exams, is complete through research on the internet and/or direct contact with the organizations.
• Prepares letters of good standing and other certificate requests for appropriate signature; certifies graduates for the State Bar examinations, and prepares bar forms for the appropriate signature. Assists with the extensive photocopying demands of the Law Center Records Office.
• Prepares the Order of the Coif certificates for the appropriate signature; gathers the member distribution list and ensures that the certificates are mailed to the recipients.
• Assists in preparing the Disability Support Services (DSS) exams in compliance with the Americans with Disabilities Act (ADA); packages individual exams and ensures that the student's accommodations are properly recorded and communicated to the proctors.
• Ensures that the provision/release of student related information and records are in accordance with the Family Educational and Rights Privacy Act (FERPA). Enters data on student records for scholar designations each semester.
• Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 1.5 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Strong interpersonal and communication skills and the ability to work effectively within a diversity academic community.

Proficiency with personal computers and associated contemporary hardware/software applications.

Excellent records maintenance skills, and demonstrated ability to maintain confidentiality.
