Physics Department | College of Arts and Sciences
Responsible for the disbursements and financial recording, reporting, and monitoring of the department's expenses (E&G, SRAD, Carry forward, Foundation) to include monthly ledger reconciliations. Responsible for the end of the year fiscal closing of the E&G budgets. Maintains, reconciles, and monitors departmental phone bills, mail and shipping charges, and travel charges. Keeps track of faculty expenditure.
Acts as purchase rep for the department by serving as liaison to the purchasing department. Researches and orders large office. equipment. Orders and processes purchase orders. Enters received purchases into database. Keeps abreast all equipment maintenance agreements and negotiates fees.
Prepares and maintains detailed statistical summaries and information for budgetary planning for departmental administrator. Provides information to assist in the projection of the future budgetary needs.
Responsible for the work authorization of foreign faculty and staff the Department is sponsoring. Requests and monitors approval status of Visa and Permanent Resident applications through the Center for Global Engagement.
Assist Property Records in inventory. Maintains updated property inventory records for review as necessary.
Assists the FACET representative for Physics. Ensures that effort reporting within OMNI system proceeds according to the schedule established by the University. Assists employee, supervisor, and the Office of Institutional Research to resolve discrepancies.
Other duties as required.
Bachelor's degree or a combination of post high school education and experience equal to four years.
Knowledge of Microsoft Office products, including Excel.
Ability to establish and maintain effective working relationships.
Ability to meet project deadlines and perform accurately in a detail oriented environment.
Ability to prepare and monitor budget information.
Ability to compile, review, and reconcile data for accuracy, completeness, and compliance.
Knowledge of electronic data processing as it applies to fiscal, purchasing, and accounting activities.
Knowledge of purchasing, procurement, budgeting, and administrative management.
This is an USPS (University Support Personnel System) position.
