Job description

Duties: The administrative coordinator serves as a member of the dynamic staff that supports the academic and advising needs of undergraduate students enrolled in the College of Arts and Sciences. This position is responsible for managing the undergraduate student awards processes and the annual awards ceremony for College students. S/he also manages the selection process for College-sponsored student awards and the annual Ludwig Teaching Award. This position also serves as an assistant to the Director of Course Management and Student Records in handling course-related database actions. In addition, s/he also coordinates the annual Family Weekend program in conjunction with the Associate Director for Administration. As part of the administrative support team, this position provides general office support, including office and phone reception, for the College Office. Responsible for working with complex administrative applications and processes involving web applications, desktop databases (FileMaker Pro), and Excel.

Qualifications: A High School Diploma or GED and 5 to 7 years of experience, or an equivalent combination of education and experience required. Excellent oral and written communication skills a must. Ease with handling multiple constituencies and occasionally stressful situations very helpful. Excellent organizational skills, ability to adapt to various communication and working styles, ability to prioritize and manage time effectively, ability to work independently, and ability to work with sensitive information required. Ability to work in a team environment desired. Demonstrated experience, aptitude, and adaptability working with office information technology. Substantive experience working with complex web applications, enterprise-level FileMaker Pro solutions, Microsoft Excel, Microsoft Word, calendaring, email, and web browsers. Eagerness to grow technology skill set and a passion for new projects and challenges.
