Office of the Dean

Assist the Dean by performing a variety of administrative duties.

Work Performed
  • Assist the Dean in such duties as may be assigned or delegated to provide services designed to meet the needs of the Law School faculty, students and staff, as well as University senior administration and external constituents.
  • Plan, research and coordinate special projects at the direction of the dean or other senior personnel in the dean's office; compile reports and research and analyze specific operational procedures and problems as deemed necessary.
  • Create and maintain systems for communicating information on behalf of the Dean. Develop and maintain a clear understanding of the Dean's priorities. Draft correspondence for review.
  • Maintain complex calendar required for the Dean.
  • Manage appointments using independent judgement, often with senior ranking officials within and outside the University. This includes assisting the dean in prioritizing requests and proactively identifying any potential conflicts or issues and recommending solutions to mitigate such situations.
  • Coordinate the Dean's travel arrangements, providing detailed itineraries, notes, details, and pertinent information related to the trip and any specific meetings as required.
  • Oversee incoming correspondence and requests for the Deans attention; route problems and correspondence to other staff members as appropriate; prioritize items that need immediate attention; answer Deans email and urgent phone calls or mail as needed.
  • Compose letters and monitor follow up on all correspondence that requires answers, responses and written replies.
  • Perform other related duties incidental to the work described herein.

Skills and Abilities Preferred:

The qualified applicant will have the following skills:
  • Proven ability to manage multiple projects and deadlines simultaneously, with careful attention to detail.
  • Demonstrated aptitude to work with individuals at all levels within the organization and externally.
  • Expertise in utilizing good judgement and exercising the highest level of discretion in dealing with sensitive matters and confidential information.
  • Advanced computer skills, including Microsoft Word, Excel, and PowerPoint.
  • Exceptional problem-solving, organizational and communication skills.
  • Demonstrated ability to work independently as well as part of a team.
  • High degree of professionalism and integrity.
  • Ability to work flexible hours to accommodate the schedule of the office and the Dean.^

Preferred Education and Experience: Bachelor's degree and experience in an academic setting.

Education

Work requires a general educational background normally equivalent to a full high school education plus two years post-secondary education in a business-related field.

Experience

Work requires 4 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities. OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
