Reporting to the Archivist, the Archives Assistant uses professional archival best practices and techniques to help arrange, describe, and preserve the manuscript and archival holdings of the Cuban Heritage Collection.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Processes permanent and historically valuable materials to include accessioning, arranging, describing, preserving, and deaccessioning archival and manuscript collections and materials (85%)
    • Processes materials according to established policies, practices, and standards, including using DACS and inputting information into Access to Memory
    • Accessions archival gifts and acquisitions
    • Trains and supervises student assistants, interns, and volunteers
    • Ensures that archival materials are handled and stored following accepted preservation practices
    • Helps maintain administrative collection files and records
    • Helps coordinate shelving and space management for archival and manuscript materials housed in the Goizueta Pavilion and the Library’s off-campus storage facility
    • Maintains statistics on work completed for reporting purposes
  • Helps staff the Reading Room reference desk and attends to researchers and visitors (10%)
  • Assists with the development and implementation of gallery and online exhibitions and preparation of digital initiatives associated with archival and manuscript materials (5%)
  • Communications, Relationships, and Service (Applicable towards all duties)
  • Maintains helpful and supportive customer service behavior with all library customers
  • Establishes effective interdepartmental relationships to increase unit effectiveness and disseminate information
  • Communicates frequently and effectively with CHC staff and other departmental staff or administration in a timely manner regarding procedures, policies, and other necessary information
  • Assists with special divisional, library-wide, and university-wide projects as assigned
  • When possible, participates in committees and teams within and outside the Libraries to provide services to the Libraries, University, and the community
  • Performs other duties as assigned

SUPERVISORY RELATIONSHIPS

The Archives Assistant reports directly to the Archivist and supervises student assistants and volunteers.

QUALIFICATIONS

Required

  • High school diploma or equivalent
  • Three year’s relevant work experience
  • Oral and written fluency in English and Spanish
  • Experience in an academic or research library
  • Commitment to user-centered library services
  • Ability to work productively in a team-based environment and the ability to share knowledge with others through effective communication skills
  • Ability to lift up to 40 pounds

Preferred

  • Knowledge and experience with archival management practices and procedures, including archival description
  • Familiarity with the research library environment and resources
  • Knowledge of the history of Cuba and its diaspora
