This is a part-time, permanent (probationary) position.

Conditions of Employment

Department: Provost's Office/ Academic Affairs

The Office of the Provost/Vice President for Academic Affairs is responsible for planning, budgeting, resource allocation and expenditure control for all instructional and academic support areas of the University as well as all academic programs and faculty and their management. Areas of responsibility include the undergraduate, graduate and continuing education programs; library and media services; research and grant activities; faculty governance; faculty personnel records, retention, tenure and promotion processes; accreditation, faculty development, course scheduling, course data base, curriculum register, and catalog; liaison with many on and off campus groups, organizations and governmental units.  

Major Duties  

Under general supervision of the Executive Assistant to the Provost the Administrative Support Coordinator provides day-to-day administrative support for the Provost's Office. The Administrative Support Coordinator receives telephone calls, greets visitors and makes appropriate referrals for action to the appropriate individual and/or area. The Administrative Support Coordinator is responsible for the coordination of various office functions and special events.  

Qualifications  

Required Education:  High school program, technical/vocational program, or their equivalents.

Required Experience:Several years of related office work experience, equivalent to three years.

Required Knowledge, Skills, and Abilities:

Knowledge of:
Thorough knowledge of correct English grammar, spelling and punctuation;
Thorough knowledge of modern office procedures, practices, methods, and records management;
Knowledge of proper customer service-oriented techniques;
Knowledge of standard computerized office systems and equipment;

Ability to:         
Ability to perform basic mathematical functions, including tracking and comparing data;
Ability to coordinate many different tasks;
Ability to communicate effectively both written and orally;
Ability to establish and maintain effective working relationships, and handle sensitive and confidential situations;
Ability to use and quickly learn new office support technology systems and software packages;

Skill in:
Skill in planning, organizing, coordinating and performing work in routine situations;
Fluency in using standard software applications;
Skill in performing general clerical functions.

Specialized Materials: The use of a wide variety of current technological equipment, i.e. personal computer, copiers, FAX machines.  

Responsibilities  

45% - Coordinates office using standard office administration skills; Greets and directs visitors to the office; Receives telephone calls and correspondence, independently applying judgment and discretion, makes appropriate referrals for action to the appropriate individual and/or area (involves frontline contact with a variety of campus and community individuals); Prepares and processes travel requests and expense claims; Maintains various office logs including office mail log of incoming and outgoing correspondence requiring signature approval; distributes mail to appropriate division or unit; Maintains Provost Conference Room calendar to ensure schedule is current and contains accurate information and the Academic Affairs electronic calendar.

30% - Orders office supplies and maintains inventory; Maintains tickler files to ensure set deadlines are met; follows-up on action items with responsible individuals and/or departments; Responsible for the maintenance of paper and electronic file records; Responsible for photocopying; Assists in the coordination of logistics related to various office functions, meetings and special events.

15% - Troubleshoots office technology problems and systems, logging help desk tickets with IT when necessary; Coordinates general maintenance requests with Facilities Services; Provides back-up support where needed within the division.

10% - Other duties as assigned by supervisor and/or Administrators.
