The Office of Development is one of higher education's premier fundraising organizations, raising over $1.1 billion last year in support of Stanford. The Development Services department within the Office of Development is responsible for processing all donations, over 120,000 in 2017, and managing the database that includes over 1 million records of information for donors, alumni, and friends of the University.
Reporting to the Associate Director, Accounting and Banking, the Development Services (DS) Accounting Analyst has responsibility for providing offices with information critical to the University's financials. The analyst's role requires an understanding of the complex underlying principles of University accounting, including the applicable systems, and the ability to apply those principles in carrying out projects and completing work. The responsibilities include determining appropriate procedures for accounting transactions, analyzing financial data, and maintaining accounting process controls.
Through a solid background of relevant education and experience, the ideal candidate will have the ability to demonstrate an extraordinary attention to detail, excellent problem solving and analytical skills, and an eye towards proactive prevention of potential challenges.
JOB PURPOSE: Perform moderately complex accounting activities and functions, including monitoring accounts, preparing documentation, expenditure reconciliations and reviews, revenue reporting/accounting, purchases and reimbursements, general ledger transactions, and journal entries.
- Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance. Contribute to development of analyses to be used for key activities or decision making.
- Perform a variety of regular and recurring accounting functions involving financial review and analysis, reconciliations, and reviews of multiple accounts and transactions related to the pledge receivables and gift revenue.
- Capture, track, and report revenue and expenses; determine appropriate procedures for accounting record preparation, research of transactions and reporting. Oversee, reconcile, and resolve problems relative to complicated accounts.
- Identify, prioritize, and resolve accounting issues; probe beyond stated situation; identify underlying issues; recognize exceptions; perform preliminary analysis.
- Run, maintain, reconcile, review, combine, analyze and validate financial data sets, utilizing financial reports, financial databases, and key financial information often from multiple systems. Assist in the preparation of basic management information reports.
- Identify and resolve incorrect journal entries, data anomalies, deviations from established procedures, and unusual issues.
- Assist the Associate Director, Accounting and Banking with internal and external audits.
- Collect data and perform research on details of transactions. Ensure work complies with complex internal policies and external regulations which may require interpretation.
- Participate as a member of a project team and contribute to change management strategy through communication and collaboration with others.
- Recommend, assist, test, or implement process streamlining, system improvements or work flow changes.
- Contribute to development and maintenance of desktop procedures and process documentation for area of responsibility.
- Serve as a liaison to other departments to resolve accounting-related issues.
- May train, coach, and review the work of other staff, as needed. Contribute primarily through applying individual expertise.
Education & Experience: Associate degree plus two years of applicable experience, or combination of education and relevant work experience.
Knowledge, Skills and Abilities:
- Proficiency in basic business applications, such as Microsoft Office; user knowledge of Excel.
- Basic knowledge of accounting systems and the internet; computer literacy.
- Understanding of and ability to apply accounting skills and concepts.
- Ability to draft professional e-mails, memos, business letters, and reports, and to clearly and effectively communicate information to internal audiences and client groups.
- Ability to learn project management skills and to participate as part of a project team.
- Familiarity with University financial systems (Oracle Financials, OBI) highly desired.
- Knowledge of fundraising and general knowledge of the University and hospitals helpful.
- Experience with software testing, including creating test plans and reporting bugs desired.
- Ability to guard confidential information essential.
