Primary Function of Organization Unit: The Poole College of Management along with the Jenkins Graduate Program which is housed in the College, offers undergraduate degrees in accounting, business administration and economics and graduate degrees in accounting, business administration and management. The College serves approximately 3000 undergraduate students and 500 graduate students. As the College continues to grow in terms of enrollment and portfolio of academic programs, we recognize the need to create a team of professionals to manage scheduling, programmatic oversight of academic programs and course enrollment at the college level. The College currently employs a Director of Advising and Curriculum and a Student Records and Scheduling Support Specialist at the undergraduate level. These two positions assist the graduate level on an ad hoc basis as needed. The role of Assistant Director of Scheduling and Academic Programs will formalize this support for the broader college, inclusive of both graduate and undergraduate programs, thus creating continuity across the two levels in relation to the functional areas noted above.
Essential Job Duties: The Assistant Director of Scheduling and Academic Programs reports directly to the Director of Curriculum and Advising in the Office of Undergraduate Programs with a dotted line to the Director of Advising & Student Affairs in the Jenkins MBA Program. The assistant director carries the responsibility of managing and optimizing course enrollment planning, overseeing course registration policy actions, and coordinating various college programs including the undergraduate business analytics program, the undergraduate business certificate program currently in development and additional programs that may be developed in accordance with the College's strategic plan. The Assistant Director of Scheduling and Academic Programs will also be responsible for collection, analysis, and reporting of enrollment data to facilitate data-based decision-making across these areas of responsibility. Additionally, the assistant director will manage course-enrollment-related student communication and as well as related college web pages. The person in this role will serve as the primary administrative manager for classroom utilization with regards to non-academic functions and will be expected to work closely with faculty, staff and student organization leaders to facilitate efficient allocation and use of space for curricular and co-curricular activities. It is expected that the person in the role will seek to identify, suggest and, with guidance from the director, implement initiatives that improve efficiency in processes and procedures related to course enrollment management, space allocation and registration communication and processes. The successful candidate will have experience with university scheduling and registration systems and program management, be forward-looking, open to generating new ideas and innovations and possess the skill set necessary to support the College in forecasting and planning efforts related to course enrollment, space management, and registration. Additionally, the Assistant Director of Scheduling and Academic Programs will attend relevant college and university meetings and will represent the college on various university-level committees. This person must also stay current on university policies and procedures and translate their impact for the college. Program Management * Manage the selection, enrollment, processing, and tracking of students in the undergraduate Business Analytics Honors Program and business certificate program currently under development; additional programs may be added to this responsibility as the college grows. * Support the MBA student enrollment process * Support undergraduate and graduate office-wide programming including orientation and commencement programs Registration Support * Manage all enrollment processes for undergraduate and graduate students including * Register and track students in practicums, internship courses, independent study courses, etc. * Manage communications regarding scheduling and registration and enrollment, responding and routing as appropriate and using information gathered to suggest improvements to policy and procedure * Create daily/weekly/semesterly reports on enrollment, room usage, and registration activities Class Scheduling * Manage semester course calendar/schedule - set timeline and deadlines, create necessary documents, implement communication strategies regarding scheduling, etc. * Participate in enrollment planning with undergraduate and graduate staff, faculty, and college administrators * Create semester schedule for Poole undergraduate and graduate courses - including evaluating courses offered, enrollment caps, etc. * Assign Poole undergraduate and graduate courses to Nelson Rooms and manage evening and Saturday elective classes at MBA satellite campus in RTP * Enter, and proof fall/spring/summer schedule and course attributes for Poole undergraduate and graduate courses and makes corrections and suggestions as needed * Manage graduate faculty status for instructors Data Collection and Support * Provide data collection and support for data requests and reporting - may include census data, enrollment data, instructional data, etc. Registration Support * Manage all enrollment processes for undergraduate and graduate students students * Register and track students in practicums, internship courses, independent study courses, etc. * Manage and monitor daily communications from faculty, staff and students regarding scheduling, registration, and enrollment, responding and routing as appropriate and using information gathered to suggest improvements to policy and procedure Create daily/weekly/semesterly reports on enrollment, room usage, and registration activities Classroom Management Manage meeting space requests for classrooms and common spaces in Nelson Hall and at satellite MBA campus in RTP. Verify proper record of and communication regarding reservations.
Minimum Education/Experience: Four-year degree required Three years of relevant work experience at a college or university required Previous experience with student information, enrollment registration, and course management systems required
