This position is within the University Business Administrators Program located in the College of Communication & Information.
This position serves as the card and key access manager and IT technician for the Deans' office as well as inventory and telecommunication coordinator college wide. In addition, the incumbent will serve as the Deans' office travel and purchasing rep and generates fiscal reports for upper level management.
Produces accurate and timely financial reports for the College along with analysis and identification of potential issues and solutions. This includes but is not limited to weekly balance spreadsheet for approximately 50 budgets along with monthly reports on the major E&G, Carry Forward, Auxiliary, and SRAD budgets. This position will review for declining balances, unexpected expenses and encumbrance and other anomalies.
Provides IT support for the Deans' office including software updates and troubleshooting hardware and connectivity issues.
Serves as the Travel representative for the Dean's Office. Enters and reviews travel authorizations and expense reports to ensure compliance with policies & procedures. Assists in ensuring sound internal controls and compliance with University policies and procedures by daily monitoring of travel activities using queries & reports. Confirms that appropriate supporting documents are submitted to the University imaging system.
Procures and receives items and services for the Dean's Office. Ensures compliance with policies including obtaining product information, obtaining proper authorization and entering complete/accurate information in the purchasing system. Assists in maintaining sound internal controls by daily monitoring and reviewing purchasing activities using queries & reports. Tracks procurement items from requisition to receipt & delivery to final payment phase.
Performs the annual physical inventory of capital assets within the College as well as ensures a well maintained internal asset management databases for non-capital items at multiple locations. Verifies the decommissioning of computers prior to disposal and the resolution of lost/stolen property. Serves as the primary card and key access manager for the College including the control and distribution of building/room access, card swipes and keys. Reconciles phone invoices.
Manages facility and other special projects related to the administration of the College as assigned. Provides support to the Deans and Assistant Director as needed.
Bachelor's degree or a combination of post high school education and experience equal to four years.
Experience using effective customer service skills.
Experience utilizing problem solving skills.
Ability to communicate effectively verbally and in writing.
Ability to prioritize, organize and perform multiple work assignments simultaneously.
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
Knowledge of computer operations, functions, and related peripherals.
Knowledge of standard concepts, practices, and procedures for computer support.
Anticipated Salary Range
Commensurate with experience.
This is an USPS (University Support Personnel System) position.
If not otherwise specified, schedule is M-F, 8-5.
