Duties: The Penn GSE Higher Education Division (HED) is seeking a full-time Program Assistant (PA) to help with administrative duties and program coordination for an academic division within the Penn Graduate School of Education. Primary duties include scheduling and calendar maintenance division-wide programming, purchasing business supplies and helping maintain the HED office suite, receiving visitors and deliveries, coordinating logistics for special events (e.g., division events, conference receptions), expensing faculty and student travel via Concur, helping new faculty/staff/visitors set up workspaces and virtual classroom spaces (e.g., Canvas), administer/proctor MSEd comprehensive exam, assist with admissions processes, and both scheduling and attending division faculty meetings and taking minutes, among other duties as assigned. The PA will need to make purchases, assist with managing divisional budget, and have access to university registration and admissions systems. Attendance of regular division-wide and school-wide meetings expected, as well as representing HED at occasional admissions events. Providing general support for HED Chair, Program Manager, and Program Coordinator to serve 100+ students, ~15 faculty, alumni, and various stakeholders with courtesy and professionalism. Workspace and computer provided for use.
Qualifications: A Bachelor's Degree strongly preferred and 1 year to 2 years of experience or equivalent combination of education and experience is required.
Occasional after-hours or weekend work for events is helpful (with advance notice/approval from employee). Familiarity with office environments and academic affairs/institutional experience preferred. Some knowledge of postsecondary education helpful, but not required.
