About the Unit
Facilities Services supports the mission of the University of Chicago through efforts to maintain and enhance the University campus and environment and provide superior client service to our community including faculty, students, staff, neighbors and visitors.
Aiding our Capital Planning and Space Management Programs, and under the direct supervision of the Capital Planning Manager, the Planning Analyst will provide support with the Facility Condition Assessment (FCA), Capital Project Request, and Space Inventory Management System (SIMS) databases. The individual will take an active role in collecting, analyzing, integrating, and reporting information.
- Communicate with and assist departmental stakeholder in finalizing FCA reports prepared by assessor; update FCA database to reflect stakeholder input. Update existing FCA database to include annual alteration and renovation projects.
- Run various reports to apply scoring methodology capital projects, quantify amounts of Deferred Maintenance that would be captured by completing proposed FY capital projects.
- Aid in compiling project benchmarking data for our capital projects, including adequate project scope of work descriptions, square feet, and general construction cost breakdowns.
- Ensure timely and accurate information gathering from Operations and Capital Project Delivery teams to maintain and update the capital project request database.
- Other duties as assigned.
The University Space Inventory Management System (SIMS) consists of the space database, CAD system, and related reporting and document management software.
- Update CAD floor plans and draw room area polylines with quality drafting, accurate measurements, and careful attention to detail.
- Assist in examining and analyzing space data in Archibus, which includes net-to-gross area, space types, departmental room inventories, and occupancies.
- Verify spatial information through field inspections and comparison of measurements from recent construction projects.
- Assist in providing digital building construction archival documents to internal and external stakeholders.
- Communicate with and assist in training departmental stakeholders to help them review and update Archibus space data.
- Get marked up as-built drawings from all building projects and update the data set accordingly.
- Maintain a working knowledge of space on campus and in the Medical Center.
- Assist in the preparation and maintenance of space usage reports and creation of special reports (textual and graphic) as directed.
- Overseeing FS projects to ensure compliance with room numbering and signage guidelines.

Education, Experience or Certifications:
- Bachelor's degree in interior design, planning, architecture, construction management OR equivalent combination of relevant education and experience preferred
- A minimum of 3 years of experience in space management, space planning, and project management activities preferred
Technical Knowledge or Skills:
- Ability to interpret Floor Plans, Contractor's Sworn Statements, and/ or UniFormat building system components preferred.
- Strong written and oral communication skills required.
- Effective organizational skills required.
- Proficiency in various databases functionalities required, including query, form building, and reporting, with the ability to create dashboards preferred.
- Knowledge of Archibus, Blue Beam, Tableau preferred.
- Proficiency in Microsoft Office (Project, Word, Excel, PowerPoint and Outlook) and Adobe Suite required.
- Proficiency in AutoCAD, Revit, and Sketch Up preferred.
Working Conditions and Physical Requirements:
- Ability to review project budgets, inspect architectural plans, keyboarding, bending, stooping to reach files, light lifting, standing. Some travel may be required.
- Ability to enter and inspect existing buildings, including mechanical rooms, penthouses, tunnels, etc.
- Ability to sit for long periods of time at a computer.
