I. JOB OVERVIEW
The George Washington University Cancer Center (GWCC) incorporates all of the existing cancer-related activities at the George Washington University (GW), GW School of Medicine and Health Sciences, the GW Medical Faculty Associates, the GW Hospital, and GW's Milken Institute School of Public Health, and serves as a platform to refocus and re-energize the university's efforts in cancer research and patient care.
Our vision is to become a leading innovator in basic, population, and clinical research, and become a premier destination for personalized cancer care. We aim to be comprehensive in scope, with an initial heightened emphasis on a select niche of specialties. Our strengths include breast cancer, gastrointestinal cancer (cancers of the digestive system), urologic cancers (cancers of the genital and urinary organs), immunology and immunotherapy (stimulating the body's immune system to attack cancer cells), and hematologic malignancies (blood cancers and stem cell transplant). Ultimately, the purpose of the GWCC is to improve outcomes for all cancer patients.
Reporting directly to the Associate Center Director, the GWCC Administrative Manager position is responsible for planning, coordinating, and overseeing GWCC administrative procedures and systems taking corrective action as necessary to ensure departmental goals are accomplished by established deadlines. The Administrative Manager follows established GWU and department policies, procedures, objectives, performance improvement, attendance, and safety guidelines, and practices a high level of integrity and honesty in maintaining confidentiality.
Provides administrative support to the Associate Center Director for Administration including maintaining calendar and answering phone calls. Provides additional assistance and support for
Cancer Center Director, Associate Center Directors and Cancer Center Executive Staff, as needed.
Manages the schedule, agenda and operation of the leadership meetings of the Center including the Cancer Center Governance Committee, Cancer Center Executive Committee and Scientific Leadership Committee meetings.
Arranges and facilitates of the GWCC External Advisory Board meetings and coordinates all materials and rehearsals.
Assists with the development and coordination of the GWCC Strategic Plan. Develops and manages systems to track and monitor institutional objectives and keeps leadership apprised of changes in status.
Assesses GWCC administrative staff performance; provides coaching and guidance to ensure maximum efficiency while developing and managing performance goals. This requires writing and delivering performance evaluations and monitoring production and overall work quality. Meets regularly with administrative staff to review workload productivity, department events, operational issues and challenges, allocate responsibilities, and address potential areas of concern while continuing to develop plans to further the goals of GWCC.
Provides input over hiring, firing, promotion and reward authority for assigned staff or work teams, including identifying new candidates for administrative open positions, coordinating interviews and meetings for staff and faculty recruits, and summarizing feedback.
Oversees payroll for hourly workers and communicates with hourly staff as needed. Prepares bi-weekly payroll submissions for the approval of the Fiscal Manager.
Assists ACD of Administration with management of employee job and status (CIS) changes within organizational guidelines, and serves as HR liaison.
Responsible for departmental procurement card program, ensuring that all expenses are allocated properly and oversees submission of receipts and statements for approval.
Processes invoices, travel and expense reimbursements.
Assists with coordination of travel reservations and conference registrations.
Oversees and monitors the procurement of office supplies and equipment as needed and requested.
Assists the ACD for Finance with annual budgets and monthly financial reports.
Manages the Cancer Center Membership program. Assists with the development and coordination of systems to track publications and extramural grant awards.
Serves as the point person for cancer communication coordination, internally to staff, faculty members, and the community.
Assists with coordination of outreach to cancer center members under supervision of leadership to build collaborative research teams across GW.
Participates and/or manages other special projects, including basic desktop research, logistical support, presentation support and small projects.
Establishes and maintains close working relationship with central departments and ensures the smooth and adequate flow of information to facilitate other business operations. Stay abreast with all organizational changes and business developments. Serves on committees as requested.
Oversees facilities services, space utilization, IT support coordination, and equipment safety and maintenance.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 6 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 4 years of relevant professional experience. Degree must be conferred by the start date of the position.
