Job description

Duties: Plan, organize, develop, administer and oversee events for the Undergraduate Admissions Office, (UGAO). Implement logistics and opportunities as they relate to UGAO events. Establish best practices for event logistics and branding across admissions events (both on and off campus); Creation, Maintenance, and Consolidation of Branded Inventory; Venue reservation centralization; Event Budget reconciliation and maintenance; Quaker Days logistics planning and execution of Marquee On-Campus events logistics support.

Specific Responsibilities:

Work with the UGAO staff as a planner of 75+ annual events including major yield focused events, Admissions' partner summits, Equity and Access Programs, College Counselor programs and other outreach events. Plan, manage and execute all aspects of events; locating venues, research, vendors and bidding, budgets, contracts, volunteer management (staff and students), staffing, entertainment and legal affairs. Plan, develop and execute ideas, themes, and concepts for events. Offer support to peer planners as needed for execution of events.

Qualifications: Bachelor's Degree required with at least two to three years of experience in special events planning, coordination and execution or the equivalent combination of education and experience. Excellent writing, communication and interpersonal skills required. Understanding of audio visual equipment. Must be highly organized and self-initiated while working as a member of a team within a goal-oriented environment. Must be able to manage simultaneous projects. The abilities to work under pressure and meet deadlines are essential. Some weekend and evening work required. Valid driver's license required.

Knowledge of University policies and procedures highly desired.

Must have extensive skills in leveraging Microsoft Excel, Power Point, Word and Outlook. Proven ability to learn and adopt new technologies and software platforms. Experience with Slate CRM desirable.
