Under the general supervision of the Director for Center for Judaic Studies and Contemporary Jewish Life in the College of Liberal Arts & Sciences, the incumbent will provide general Institute administration to ensure the forward progress of the students and educational experience. This is a 50% full-time position.
DUTIES AND RESPONSIBILITIES
- Serves as point of contact for office and Institute Head
- Under the general direction of the Institute Head, provides responsible administrative support as well as entry-level program support for the institute
- Hire, train and supervise student workers
- Manage Institute's event calendar, including conferences, speaker visits, and committee meetings, create and distribute agendas and minutes.
- Assist with technical aspects of setting up meetings (laptops, computers, access in tech rooms)
- Draft and distribute official correspondence on behalf of the Institute Head to College and University members
- Coordinates office orders (liaisons with contracted vendors, evaluates costs)
- Compiles data and reports for Institute Head as requested
- Coordinates aspects of special events and outreach programs, including making speaker travel arrangements, creating itineraries, and assisting in advertising efforts
- Processes faculty travel and reimbursements and other related fiscal documents.
- Liaisons with undergraduates, parents, faculty, staff, administrators, and outside parties regarding institute information
- Assists with personnel searches, including drafting of necessary documents, scheduling of interviews, arrangements of employment offers
- Maintains files and records, as well as resource materials and program information
- Performs related duties as required
- Maintains and analyzes statistics and data on the progress of majors, undergraduate students, graduate students and postdoctoral trainees as well as other departmental data needs necessary to report to accrediting agencies and apply for external funding
- Bachelor's Degree
- One to three years' experience in a responsible administrative support position, which demonstrates knowledge of administrative methods
- Ability to work independently and regularly exercise judgment regarding administrative detail and procedures
- Ability to provide entry-level program support
- Good interpersonal and organizational skills
- Excellent computer skills including Microsoft Word, Excel, Outlook and Access.
- Excellent attention to detail
- Ability to multi-task
- Experience working in an academic environment.
