I. JOB OVERVIEW

Job Description Summary:

The GWSB Department of Marketing is searching for an Academic Department Administrator. This individual is a key contributor to providing high quality customer service to meet the academic needs of the faculty and students.

The Academic Department Administrator reports to the Department Chair. This position supervises the student employee Administrative Assistants/Receptionists.

The Academic Department Administrator responsibilities are:

Serves as the first point of contact as the key administrative support for the department and interacts daily with GW faculty, staff and students.

Coordinates, manages and executes activities related to financial operations, faculty and staff personnel actions and logistics for classroom and curriculum assignments.

Oversees the general maintenance of the office and coordinates department events.
Coordinates with other departments and units in the school as necessary, for example to update the department website.

Prepares annual budget proposals for review by the Department Chair, reconciles monthly budget, prepares budget reports and processes stipends, requisitions, and Pcard expense reports.

Under the direction of the Department Chair, manages the hiring process for all faculty (full time, adjunct and visiting scholars), temporary staff and students, GAs, RAs, work-study students and so on, including on-boarding to the department.

Supports faculty classroom needs, including acquisition of textbooks and compiling course materials.

Exercises authority to make decisions related to academic support and serves as the administrative subject matter expert for the department. Participates in monthly school wide meetings for administrative managers.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Highly detailed with strong organizational skills, self-motivated, possess solid computer skills and a demonstrated ability to manage multiple priorities and work under pressure to meet deadlines.

Excellent interpersonal, customer service, and communication skills.

Working knowledge of Banner, EAS and I-Buy systems.

Enjoys working as part of a team as well as independently to achieve department and GWSB goals and objectives.

Ability to interact effectively with a diverse university population at all levels, facilitate decision making and conflict resolution, maintain a positive and constructive demeanor treating all staff, students, faculty with professionalism, courtesy and respect.
