The Curry School of Education's University Council for Educational Administration (UCEA) at the University of Virginia is accepting applications for the position of Executive Administrative Specialist. The incumbent provides clerical and administrative support for the UCEA program within the Department of Educational Leadership and Foundations. The Administrative Assistant works under the general direction of a supervisor, and has a demonstrated capacity to work independently, as well as the ability to make decisions based on standard operating procedures and policies, or per the guidance of leadership. Responsibilities include supporting the transition of UCEA's Executive Leadership by developing resources; organizing meetings, travel and materials; handling communication, announcements and social media, supporting program work, and maintaining records. The incumbent may have latitude to set procedures to accomplish work tasks, establish office procedures, and ensure implementation. The Administrative Assistant may lead, train, and serve as subject matter expert to other administrative support staff and may supervise students and other support staff.
A high school diploma or equivalent and at least four years of relevant experience is required. A minimum of 3 years' experience providing administrative support in a high volume office and supporting high level executives is essential. A Bachelor's degree may substitute for years of experience. Previous work experience with spreadsheets, data entry, querying and reporting skills is required. The ability to evaluate, apply information and provide advice is essential. Strong working knowledge of administrative and office procedures is required. The ability to manage multiple projects is essential as is the ability to analyze and present information. The incumbent must demonstrate excellent oral and written communication. The ability to organize meetings, make travel arrangements, and handle communication is essential. A proven ability to work independently or as part of a team as well as multicultural awareness and competence is required. Proficiency in Microsoft word, excel, qualtrics, and Google docs is required. Experience supporting an office in higher education is preferred. Knowledge of Design Software (InDesign, FileMaker Pro) and social media networking tools ( twitter, linkedin) is highly preferred. Proficiency in Slate, SIS, and LMS softwares is also preferred. Preference will be given to individuals with the ability to conduct and evaluate assessments, as well as knowledge of trends in K12 education graduate programs and K12 career networks.
