Administrative Services Assistant

Job description

Reporting directly to the Associate Vice President and Executive Director of the UK Alumni Association, the Administrative Services Assistant provides executive support in a one-on-one working relationship. Duties include providing senior-level clerical support for department head, managing the day-to-day operations of the office; providing logistical support for surveys and open records requests; and assisting with other special projects related to administration and alumni activities. The Administrative Services Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Associate Vice President and Executive Director of the UK Alumni Association. In addition, this position will take and prepare minutes for the UK Alumni Association Board of Directors.

The Administrative Services Assistant is responsible for the departmental human resources and payroll functions as well as departmental position management functions. The Administrative Services Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The qualified candidate must be extremely well organized and able to work independently; show initiative and a strong work ethic; and demonstrate excellent skills in customer service, multi-tasking, and decision-making. Above all, providing great staff and customer service and support is necessary for the success of this unit and department.
