Gift Agreement Coordinator

The Gift Agreement Coordinator is responsible for preparing documents used for closing new gifts and commitments. The Gift Agreement Coordinator works directly with the Office of Stewardship and Donor Relations and the Office of Development to create new gift agreements and other related documentation. In this capacity, the Coordinator will implement best practices for gift documentation, provide training for development officers, draft, review and proofread agreements, and track agreements through the signing process. The Gift Agreement Coordinator will ensure all processes and documentation are consistent with University Advancement policies and practices. This position reports up to the Senior Director of University Advancement Administration.
Manage the gift agreement process, which includes receiving draft gift agreements, providing critical review, engaging with impacted parties to make/validate changes, highlight issues for senior management, and bring agreements to closure by working with all parties to obtain final signatures.
Assist development officers with creation, review, and revision of new gift agreements and related documentation by drafting, proofreading, tracking, scanning, preparing for signature, distribution, and other tasks required to finalize agreements.
Oversee distribution of all finalized gift agreements to Gift Processing, Stewardship and Donor Relations, and all relevant parties.
Create the content for and conduct training on the gift agreement process for development staff, provide the development team with the tools and understanding to create best in class gift agreements, ensure clarity regarding the gift agreement process.
Track status of all gift agreements and account attributes for managing gifts, in coordination with the Director of Stewardship Compliance and Gift Processing.
Provide updates or status reports to staff regarding the status of agreements, as appropriate.
Bachelor’s degree or equivalent combination of education and/or experience.
Keen attention to detail and thoroughness in completing assigned duties.
Strong writing and proofreading skills, ability to synthesize information correctly and concisely in written form.
Collaborative style, combined with the ability and desire to work in a team-based environment.
Ability to prioritize when working with competing deadlines and maintain excellent customer service.
Ability to maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential prospect information.
Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone.
Knowledgeable with Microsoft Office Suite (Word, Excel, Access, Power Point), comfortable with various database applications.
