Program Assistant - University College

Job description

The Program Assistant is an academic administrative role that supports the planning and coordination of multiple academic and non-credit programs at University College. This person supports Adjunct Faculty and Academic Program Directors. This employee assists in areas of faculty support, coordination, and communication; program and operational support; management of course details (e.g. quarterly and multi-term course schedules, faculty scheduling, textbook orders); and implementation of various administrative functions including, but not limited to, internal and external communications, file management, meeting coordination, event planning, project management, and other program-related tasks. The Program Assistant works closely with teams focusing on, academic quality and Canvas training, course scheduling, and faculty hiring. Additionally, the Program Assistant works with departments within University College and across campus.

Essential Functions

  • Support Academic Program Directors in areas of administrative support including planning and implementation of current and new program initiatives.
  • Manage and implement administrative systems for the department including development of processes, procedures, and department functions.
  • Manage multiple projects simultaneously, which includes overseeing the updating and maintenance of course information, faculty files, and organizing processes that facilitate office efficiency.
  • Gather information for the deadline-driven quarterly course scheduling process, the annual catalog, textbook ordering, pre-class assignments for students (a requirement for course delivery).
  • Contact faculty to coordinate and complete information for the quarterly and annual schedules.
  • Maintain faculty data.
  • Assist in coordinating the program curriculum ensuring that courses have faculty and appropriate resources for delivery of hybrid, online, or on campus courses.
  • Develop and implement effective and convenient service strategies including, but not limited to, communication to faculty through electronic and analog channels.
  • Develop support service procedures by anticipating the needs of academic directors and faculty.
  • Answer questions, anticipate problems, provide materials, and refer to appropriate resources when necessary.
  • Assist in the hiring and on boarding process of the new faculty.
  • Communicate academic standards, procedures and policies, and other program information to faculty.
  • Engage in positive, productive, professional, and interpersonal relationships throughout the University of Denver by establishing close working relationships with colleagues and constituents while fostering inclusivity.
  • Regularly participate in and contribute to appropriate teams, committees, activities, and events.
  • Work closely with Academic Directors and Enrollment Management Teams to achieve enrollment objectives.
  • Coordinate the Institute for Leaders in Development program delivery by working directly with the program manager.
  • Ensure technology is used efficiently and correctly.
  • Coordinate special events for academic program related initiatives involving professional associations.
  • Develop and deploy surveys.
  • Analyze data from various inputs using appropriate technology.
  • Assist in the hiring and on boarding process of new adjunct faculty.
  • Communicate academic standards, procedures and policies, and other program information to adjunct faculty.
  • Attend quarterly CASP meeting and process new course proposals, course changes and new faculty hire.
  • Work closely with Academic Directors and Enrollment Management Teams to achieve enrollment objectives.

Required Qualifications

  • Bachelor's Degree or an equivalent combination of education and work experience
  • Two years of relevant administrative support experience in an office setting within a team atmosphere.
  • Experience with Microsoft Office Suite.

Preferred Qualifications

  • Mastery of Microsoft Office Suite.
  • Experience with Adobe Acrobat.
  • Experience with HTML.
  • Two years of relevant administrative experience within a higher education/adult learning setting.

Work Schedule

Monday to Friday, 8am-4:30pm. Occasional early morning and evening hours as required.
