JOB PURPOSE:

Work under general supervision to support the contracts team in the procurement services central office by coordinating, managing, and performing routine and moderately complex procurement transactions. Provide customer support to a diverse campus community. This position is a 1 year Fixed Term role.
CORE DUTIES*:
  • Process internal procurement transactions associated with services contracts for the maintenance of accurate information in the Oracle database.
  • Assist contracts advisor with processing simple contracts (e.g. hotel and catering agreements), and related organizational tasks.
  • Maintain electronic contract files to ensure they are up to date, complete, and uniform.
  • Analyze incoming requisitions for completion and inclusion of all necessary back-up documentation before processing.
  • Analyze and interpret information in contract documents to create the appropriate Oracle transaction.
  • Manage complex Oracle change order processes.
  • Answer client questions, or solicit sufficient information from clients to determine to whom (contract advisor or manager) client should be directed.

    MINIMUM REQUIREMENTS:

    Education & Experience:
    Associate degree and two years of relevant experience, or a combination of education and relevant experience. Preferred: bachelor's degree, experience supporting a procurement organization or a law firm/legal department.

    Knowledge, Skills and Abilities:
  • Demonstrated experience operating in a complex, process-oriented environment.
  • Excellent verbal and written communication skills; strong attention to detail.
  • Outstanding organizational and problem solving skills.
  • Ability to work independently on multiple projects simultaneously.
  • Excellent Microsoft Word and Excel skills.
  • Preferred: experience working in Oracle Financials system.
  • PHYSICAL REQUIREMENTS*:
  • Frequently perform desk based computer tasks, use a telephone, sit and use light/fine grasping.
  • Occasionally stand, walk and write by hand, lift, carry, push, and pull objects weighing 10 pounds or less.
  • Rarely kneel, crawl, climb, twist, bend, stoop, squat, reach or work above shoulders, grasp forcefully and sort, file paperwork or parts, lift, carry, push, and pull objects weighing over 40 pounds.
  • WORKING CONDITIONS:
  • May require extended working hours during peak cycles.
