Job Summary

The Office Specialist provides advanced administrative and clerical support to the Executive Director and assists the Museum of Art & Design (MOAD) Department with a broad range of initiatives intended to advance institutional priorities in a number of strategic areas.

Duties & Responsibilities

  • Provides administrative and organizational support for the MOAD Executive Director and the department
  • Oversees office operations, works with Campus support staff, and provides administrative support accordingly
  • Assists with the development and maintenance of office procedures and systems including records and files maintenance
  • Responds to high-volume of calls, handles internal and external inquiries and directs calls accordingly
  • Supports the Executive Director with grant management and other office documents including writing, preparing, proof-reading, and editing
  • Prepares expense reports, department requisitions, disbursements, and duplication requests
  • Assists with department budget
  • Serves as board liaison between the Board of Advisors, Executive Director and College
  • Provides support to the Board of Advisors, Executive Director and the College by taking minutes, preparing final reports and communications
  • Performs other duties as assigned

Minimum Requirements

  • Associate's degree in Fine Arts or related field from a regionally accredited institution and four (4) years of experience in responsible administrative and clerical work, or any combination of education and experience
  • All degrees must be from a regionally accredited institution
  • Knowledge and understanding of College organization, goals and objectives, and policies and procedures
  • Proven experience in museum administration support and non-profit boards
  • Proven experience in a fast paced office environment with responsibilities in handling multiple
  • projects
  • Ability to work collaboratively and effectively with constituents, departments, community based organizations in a diverse community
  • Possess exceptional problem solving and diplomacy skills
  • Knowledge of Microsoft office software and specific computer programs related to area of responsibility
  • Possess superior organizational skills and the ability to guard confidential information
  • Ability to travel to special events
  • Ability to effectively present information and respond to questions from senior management,
  • groups of mangers, clients, customers, and the general public
  • Possess excellent communication skills both oral and written
  • Ability to follow through on all assignments with minimal direction and handle multiple tasks
  • Ability to work in a multi-ethnic and multicultural environment with students, faculty, and staff
  • Ability to work a flexible schedule that may include evening and weekend assignments


Bachelor's degree and art museum experience
