The Department of Obstetrics and Gynecology has an opening for a full-time, University Staff (unclassified Grants & Contracts Coordinator (Research Services Professional) position.

Job Summary:
The School of Medicine, Department of Obstetrics and Gynecology is seeking applications for a Grants & Contracts Coordinator. This full-time, University Staff (unclassified) position will be responsible for managing grants and contracts in pre-award status within the Department and its seven Divisions, and ensuring compliance with all internal and external policies and procedures that govern the Department's efforts. This role will help act as a resource for sponsored projects and will be expected to provide a high-level of customer service to all research faculty and staff in the Department of OB/GYN.

Examples of Work Performed:



Pre-award Submission Process:
  • Works collaboratively with faculty, postdocs, students and staff members on all aspects of pre-award grant administration in the development, preparation, and submission of proposals, including but not limited to:
    • Reviewing all Request for Proposal (RFP) documents, sponsor requirements, document instructions, and related information and disseminating synthesized information to investigators.
    • Working with principal investigator and personnel to develop submission timeline and determine responsible personnel for proposal development activities.
    • Assisting faculty with budget development and advising on revisions necessary to meet sponsor requirements.
    • Assisting with the development and formatting of attachments such as biosketches, other support documents, etc.
    • Coordinating required institutional signatures on application documents as needed.
    • Reviewing applications prior to submission, ensuring that all Sponsor, agency, and University guidelines and requirements are met.
    • Routing submission through the Office of Grants and Contracts (OGC) and serving as a liaison between OGC and the investigator, facilitating the resolution of errors, etc. as needed until final submission.
    • Facilitating timely responses to requests for further information from Sponsors, including Just-In-Time requests.
    • Monitoring progress report deadlines and coordinate timely preparation and submission of such reports.
  • Facilitating the execution of contracts and sub-contracts.
  • Assisting with the preparation of project-specific budgets, including proper application of F&A costs.
  • Maintaining a database with internal and external funding opportunities related to faculty research areas. Keeps investigators informed of upcoming deadlines.
  • Developing guidance documents relating to processes and policies of grant submissions.

Administrative Research Support:
  • Provides backup support to post-award specialist, including, but not limited to, no-cost extensions, setting up sub-contracts, paying invoices, generating invoices and submitting to Sponsor, providing expense reports and reconciling projects with monthly reports to PIs, assisting with grant related personnel functions including establishing correct funding and effort of personnel for each sponsored project, and closing accounts.
  • Provides backup support to clinical research specialist, including, but not limited to, facilitating execution of industry-funded contracts and development of budgets, and assistance with regulatory submissions.
  • Perform other duties as assigned.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Salary and Benefits:

The hiring salary for this position is commensurate with skills and experience. This position is not eligible for overtime compensation.

Qualifications

Minimum Qualifications:
  • Bachelor's degree with an emphasis in Accounting, Finance, Business, Health Care Management, or a closely related field.
  • One (1) year of experience with research grants and/or contract administration at an academic institution.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.

Preferred Qualifications:
  • Three (3) or more years' of professional experience working in government, non-profit and/or academic administration.
  • Experience working with University software applications including InfoEd, m-Fin, CU M@rketplace, and/or OnCore.
  • Experience in pre- and post-award contracts and grant administration.
  • Experience interpreting and applying policies from multiple levels of authority (federal, state, and institutional) and serving as a resource for others.
  • Experience with clinical studies calendar specifications and protocol / subjected related procedures.

  • Demonstrated ability to prepare and present analytical assessments and reports, and to communicate professionally and effectively.
