Department Overview
The mission of the Office of Grants and Contracts Administration (OGCA) at UNT is to work with researchers, faculty and staff in securing and administering external funding, for research and other creative works that are consistent with UNT's Mission and Four Bold Goals. We serve the campus by providing information, tools, guidance and assistance for proper administration and stewardship of sponsored funds to meet both sponsor obligations and institutional requirements efficiently and effectively. OGCA serves as advocates of UNT and its research activities and programs in all our transactions and communications with external entities.

Job Description

The Office of Grants & Contracts Administration Department at the University of North Texas is seeking to hire a Contract Assistant to join our team.

Responsibilities of the position include, but are not limited to:

This individual must have a basic understanding of the fundamental elements of contracts and agreements and considerable experience with Adobe and MS Office products as well as an enterprise information system (EIS). The position provides administrative support to the Contracting Analysts, including but not limited to: preparing basic agreements; communicating with faculty, staff, industry sponsors, federal funding agencies, and subcontractors; coordinating a high volume of transactional tasks; and performing subrecipient monitoring responsibilities. This position will also assist in the maintenance of EIS records and metrics development via monthly reconciliation reports and activity tracking. Other specific job duties include: special projects as assigned.

This position acts as a liaison between the Office of Grants and Contracts Administration (OGCA) and other offices and departments on campus; excellent written and oral communication and customer service skills are required. This individual must be detail-oriented and able to handle a high-volume work load in a fast-paced environment. Critical thinking skills and the ability to research issues/solutions and synthesize information is desired. Strong data organizational skills are necessary to multi-task between different agreement types for faculty, sponsors, and subcontractors. This individual must be motivated with a willingness to own tasks under general direction given.

This position reports to the Senior Contract Analyst and is a valued team member of OGCA.

Responsibilities of the position include, but are not limited to:

* Draft agreements with basic information; prepare agreements for review and signature; transmit documents as directed.
* Update tracking systems with documents and status; provide consistent status notifications to affected parties. Appropriately address and/or direct inquiries from parties in a responsive manner.
* Maintain files in accordance with file management systems and UNT record retention policies and procedures.
* Assist with development and maintenance of a Contracts training manual and training materials. Assist with development of a Cayuse training manual for Contracts.
* Develop and maintain spreadsheets or other reports and forms as required.
* Facilitate routine or ad hoc report requests from a variety of customers.
* Schedule and attend meetings/teleconferences as needed; record meeting minutes and prepare/transmit briefings as directed.

Minimum Qualifications
The successful candidate will possess a High School diploma or GED equivalent and three years of general office or clerical experience.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications:

* Bachelor's degree and three years of legal or paralegal, general office, or clerical experience.
* Basic understanding of contract agreements
* Knowledge of federal and state regulations (interpretation, applicability, compliance, etc.)
* Experience with data management, metrics development, and file maintenance
* Experience in a customer service environment
* Experience organizing/coordinating a high transactional volume of tasks and projects
* Considerable knowledge of sound business principles, practices, and techniques
