Administrative Support Associate I

Job description

This position will be responsible for providing technical and administrative support to the Career Employment team. Technical support will encompass several systems; however will primarily require extensive knowledge and expertise with UK's employment system, Integrated Employment System (IES). This individual will support the Customer Service team by promptly and enthusiastically answering phone calls received from the HR Employment automatic call distribution (ACD) phone system and own phone line, effectively referring customers to appropriate area of HR. This position will provide front line customer service to walk-in traffic when needed and/or requested and be responsible for successfully assisting all customers which can include, but is not limited to: completing I-9 forms and other new hire paperwork, facilitating Student Employment interviews, ensuring computer lab users receive appropriate guidance, distributing paychecks, and completing opening and closing procedures, when appropriate.

This position will ensure assigned tasks successfully complete requirements per department standard operating procedures (SOP), related UK policy and procedures and relevant state and federal employment laws. Contribute to the continuous improvement of department services and the division's reputation by actively engaging in work teams and projects, identifying potential areas for improvement, assist in developing/creating employment resources for both applicants and hiring managers.

The essential job functions of this position require you to: communicate and build working relationships with staff, faculty and candidates from diverse backgrounds; abide by University guidelines; maintain confidentiality; prioritize and manage work effectively; provide exceptional customer service and positively represent the university; ensure work is detailed, accurate and completed in a timely manner; perform work in a sedentary or standing position for long periods of time; interact with individuals from various levels throughout the university and educate others on employment processes and work successfully in a team as well as independently.


Days, Monday - Friday 8:00am - 5:00pm (40 hrs/week)


We are seeking an individual with initiative, superior customer service focus, team orientation, strong time management, excellent written and oral communication skills and the ability to build strong working relationships. A successful candidate will also have technical knowledge, the ability to multi-task with a strong emphasis on accuracy and attention to detail. Solid time management, problem solving, critical thinking, follow-through, stress tolerance and planning and organizational skills are all critical to the success in this position and a high level of respect for confidentiality and diversity are a must.
