Job Summary

The Vendor Services Specialist provides new vendor assistance with the vendor registration process and provides modifications to existing vendor's information within the financial system for the College. The position also provides clerical support and coordinates the issuance of all bid notices, bid openings and other assigned duties as required.

Duties & Responsibilities

•Reviews all vendor registration information entered and documentation uploaded to the College Financial System
•Approves vendor registrations after all documentation submitted has been verified
•Modifies existing vendor information to expedite the payment process to vendors
•Types, edits, retrieves, and prints documents
•Places advertisements for all bid openings and notices of public hearings
•Attends all bid openings and assists in opening bids
•Prepares departmental on-line payroll and keeps accurate records and written documentation
•Processes any department requisition and provides any increase change order request when needed
•Verifies invoices against department requisition for Assistant Director to sign for payment
•Maintains office supply stock and re-orders for the Department
•Performs other duties as assigned

Minimum Requirements

•Associates of Arts degree in related field from two-year College; or Technical School from a regionally accredited institution and three (3) years of experience in responsible accounting, finance, or payroll, in a fast-paced office environment; or equivalent combination of experience and education
•All degrees must be from a regionally accredited institution
•Knowledge and understanding of College organization, goals and objectives, and policies and procedures
•Knowledge of Microsoft Office and related database software applications and office equipment (i.e. photocopier, printer, fax machine, calculator)
•Knowledge of office practices and procedures
•Ability to demonstrate effective time management and attention to detail skills
•Possess effective interpersonal skills in order to make sound judgments in deciding how duties and responsibilities are completed between himself/herself and coworkers, the supervisory chain, faculty, staff, students and customers
•Ability to think, reason, and make sound judgments within college standards and guidelines
•Ability to read and interpret documents
•Ability to write routine reports and correspondence
•Ability to speak effectively with students, faculty and staff
•Ability to make arithmetical calculations such as addition, subtraction, multiplication, and division
•Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
•Ability to work in a multi-ethnic and multi-cultural environment with students, faculty, and staff
