ADMINISTRATIVE ASSISTANT, PENN MEDICINE

Reports to three 3 Development professionals for Penn Medicine Development s Individual & Organizational Giving Division. Under limited supervision, provide secretarial and administrative support to assigned professional staff in the Individual and Organizational Giving division of PENN Medicine Development and Alumni Relations for the Abramson Cancer Center Development team, as well as shared administrative responsibilities for the department.
Provide information to faculty, staff, alumni, students, volunteers, trustees, and grateful patients concerning PENN Medicine Development and Alumni Relations (PMDAR), the Individual and Organizational Giving division Abramson Cancer Center team.
Prepare correspondence: draft, format, type, and proofread letters, manuscripts and proposals using word processing equipment.
Organizational activities on behalf of supervisors including filing, copying, distribution and data entry, make arrangements for meetings and travel, and prepare expense account forms. Track all expenditures for supervisors.
Coordinate mass mailings and serve as administrative support for cultivation events, including staffing events.
Share responsibility with departmental AA staff for answering telephones, and participating in inter-campus deliveries/pick-ups.
Assist with staffing and greeting at special events and group projects, and other PENN Medicine Development activities as necessary.
Record ATLAS and prospect management entries and gifts processing as needed by supervisors and unit.
Engage in basic development research using standard reference and files.
Maintain calendar and arrange travel itineraries and accommodations. Open, review, and distribute mail within scope of authority.
Coordinate priorities for assigned PENN Medicine Development professional staff and work as a team with all PENN Medicine Development staff and other administrative support staff on Individual and Organizational activities.
Perform other duties as assigned
Qualifications: High school diploma and post-secondary education degree preferred. 3-5 years of administrative or other professional experience preferred. One year of experience in development highly desirable. Knowledge of computer programs and databases required. Proficient in typing and word processing. Knowledge of MS Office, MS Word and MS Excel required. Ability to handle complex and highly confidential materials. Ability to lift up to 50 pounds. Ability to work with peers and all levels
of management and to operate effectively in larger, busy department. Attention to detail and excellent communications skills preferred.
The incumbent works on a daily basis with and through senior institutional officers, trustees, donors and volunteers, administrators, faculty, grateful patients and
families, and development/alumni affairs/ public affairs colleagues, and must have experience, judgment, and communications skills commensurate therewith.
