Administrative Specialist to the Department Head

Position Summary: This position supports the administrative functions of the English Department. As the sole office manager, the position provides the Department's primary interface with the public, students, parents, university administrators, faculty, and other staff. The person in this position should be able to act independently on the phone, via email, with person-to-person office contacts to answer a wide range of questions concerning the program protocols, schedules, and policies. He/she makes arrangements to organize and support department functions, graduation ceremonies, scheduled events such as lectures, retreats, and meetings. This position requires excellent verbal and written communications skills. Consistent and regular attendance is vital to providing reliable support. Other duties include: working with the foundation funds, supporting endowed chairs with their travel and speaker arrangements, helping with the preparation of tenure and promotion dossiers, assisting with the graduation ceremony. This position also handles confidential information.

Responsibilities: Perform administrative duties Screen telephone calls, receive messages, schedule appointments and meetings, and answer various correspondence for the Department Head. Provide information and/or instruction on departmental policies and procedures to faculty, staff, and students, and distribute information if necessary. Assist with the job searches. Sometimes as many as three searches are in progress at a time, with as many as 200 applications for each search. This process also includes making appointments for interviews at SAMLA and MLA. On campus interviews require making travel arrangements, arrange hotel accommodations, schedule appointments with departmental faculty, and with the Dean's Office. Senior faculty appointments also require appointments with the Provost and Graduate School.

Qualifications: High school diploma or equivalent and four years of progressively responsible office experience OR Associate's Degree and two years of responsible office experience OR Bachelor's degree.
