Job Summary/Basic Function:
General Description:
The purpose of this position is to provide executive level secretarial and administrative support to Lamar University's Vice Provost perform ing duties related to the day to day operations of the Digital Learning division.

Essential Job Functions:
Provides executive level support and customer service by assisting in the day to day operations; maintaining daily schedule, setting up meetings; typing correspondence ; answering and screening telephone calls; greeting visitors; assisting customers; handling incoming and outgoing mail; taking minutes at meetings; preparing reports; processing invoices and expense reports for payment; purchasing office supplies; maintaining filing system; creating and maintaining spreadsheets; and interacting with students, faculty, chairs, deans and other office staff. Manages travel and prepares reimbursements by registering employee for conference, recruitment, athletic event, etc.; preµaring request to travel; making hotel, flight, and car rental reservations ; processing travel voucher forms upon return of employee; reconciling rravel expenses; preparing reimbursements; processing ingoing and outgoing correspondence, emails and inner office memos; and performing special assignments as needed. It is essential that the appointee be able to handle data related to student application, admission, retention, progression, in addition to data related to faculty, courses and any other data used in making informed decisions.

Education/License Required: Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with a two year associate’s degree, diploma or equivalent from a college, technical, business, vocational, or correspondence school. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.

Experience Required:
Over three years up to and including five years. Must be able to manage data, use EXCEL to analyze data and to create pivot tables to display results.

Knowledge, Skills & Abilities:
Position typically includes work that requires the direction of occasional, non-regular employees, including student assistants, work study students, seasonal employees, interns, and part-time hourly employees.

Work requires contacts with management personnel from other departments, including coordinators, directors, chairpersons, and assistant deans. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

This job title normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion.

This job title requires a comprehensive, practical knowledge of a technical field with use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.

This job title does research for documents, compiles data for computer entry, and/or enters or oversees data entry. Has responsibility for monitoring budget/fiscal expenditures (typically non-discretionary expenditures) for a work unit of less than department size (programs, activities, projects or small organizational units) or responsibility for fiscal management of capital project{s).

Physical Requirements: Sedentary, exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time.
