Position Summary

Representing the College of Education at Michigan State University, this position will provide administrative and executive support to the Dean of the College. Specific job duties include, but are not limited to: scheduling, coordinating and maintaining the Dean's calendar; interacting with faculty, staff, students, administrators, executives, trustees, alumni, the general public and other constituents in order to represent the Dean; providing administrative support to the Associate Dean for Research; arranging travel plans including domestic and international (flights, rental cars, hotel, etc.), preparing travel authorizations and itineraries, and processing travel reimbursements; serves as the College-level expert on travel planning and support; planning and coordinating the Dean’s college-wide meetings and events to include: scheduling, catering, booking of venues, travel, registration, providing on-site event support, and other related items; serves as College-level expert on event planning and coordination; composes and edits documents and correspondence; and other duties as assigned to carry out the mission of the College and the University.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; five to eight years of related and progressively more responsible or expansive University work experience providing administrative support, including experience with word processing, spreadsheet, database, presentation, and calendaring software; experience editing and composing correspondence; experience with scheduling, procuring travel arrangements, and event planning; or an equivalent combination of education and experience.

Desired Qualifications

A bachelors degree in business, education, or a related field; experience with Enterprise Business Systems including SAP, Kuali Financial System, and Business Intelligence; experience with Microsoft Office including Word, Excel, Access, PowerPoint, and Outlook; experience with Desire 2 Learn software; experience with Adobe Acrobat; proficient in the use of both MAC and PC operating systems; ability to manage complex schedules; ability to work independently and with confidence to take initiative to be proactive; sensitivity to and appropriate handling of confidential information; detail-oriented with a high degree of accuracy, resourcefulness, and efficiency; demonstrated excellent communication and interpersonal skills; ability to interact with varied constituents in a timely, courteous, and professional manner; ability to use sophistication in interfacing with outside clients; demonstrates work orientation that includes a focus on service, problem-solving, teamwork, adaptability to change, a positive attitude, and continuous learning for self-improvement.
