Position Summary

The Staff Assistant in Cardiothoracic Surgery will provide administrative support to the Chief of Cardiothoracic Surgery and the CT Surgery physicians that will include calendars, meetings, travel, and transcribing dictations. In addition, they will guide the patients through the surgery process by booking surgery, pre-authorization, and all other billing duties as required.


Duties of a Staff Assistant in Cardiothoracic Surgery may include but are not limited to the following:

  • Coordinate activities for the Director of the Heart Institute to guarantee participation in agreed engagements such Governor’s Committee, Grand Rounds, speaking engagements, research assignments, as well as attend and take meeting minutes at research meetings.
  • Responsible for the Director of the Heart Institute’s calendar by setting priorities for activities and appointments and keeping abreast of activities throughout the Heart Institute and Stony Brook University Hospital.
  • Work as a liaison for the Director of the Heart Institute. Assist the Director of the Heart Institute and Division leaders to meet deadlines. Assist and serve as a resource for Associate Directors of the Heart Institute as needed. Will serve as the coordinator of the yearly budget process and serve as a resource for Heart Institute leadership.

  • Responsible for the preparation and/or coordination of official correspondence and formal presentations by the Director of the Heart Institute that are accurate, complete and meet quality standards for appearance and presentation, including forms, letters, spreadsheets, tables of organization and reports utilizing Microsoft Office.
  • Arrange and schedule potential physician candidate interviews and travel arrangements including, but not limited to common carrier travel, rental car, hotel stay and reimbursement for visit.
  • Compiles budget data and manages the budgets for the Heart Institute. Review, coordinate, and encumber funds for the entire division.
  • Prepares and coordinates all travel arrangements, follow-up and reimbursement for the Director of the Heart Institute for local and national conferences and speaking engagements.
  • Participate in coordinating special events for the Heart Institute including Grand Rounds, educational events, yearly Heart Center sponsored conference. Facilitate meetings with outside offices with the goal of increasing referrals to Stony Brook Hospital.
  • All other duties as assigned.

QUALIFICATIONS:

Required Qualifications: Bachelor’s degree, five+ years related administrative experience in a healthcare setting, experience in MS Office Suite including Word, Excel and PowerPoint, office management skills, medical terminology, purchasing/budget experience, and proficiency in computer skills.

Preferred Qualifications: Bachelor’s degree in Health Care, and/or experience in website management.
