Work schedule

Work schedule of 40 hours per week. Primarily Monday – Friday, during standard 8:00 am – 5:00 pm office hours, with some night and weekend hours as needed for event preparation and coordination.

Basic Function

Under the general supervision of the Associate Vice President for Alumni & Constituent Relations, the Alumni & Parent Relations Coordinator is a full-time, temporary position responsible for implementing the Alumni & Parent Relations Plan and fostering the College’s new approach to alumni engagement in the absence of the Director of Alumni & Parent Relations. The Coordinator will be responsible for all programming, communications and administration for the Office of Alumni & Parent Relations for a six-month period, training with the Director in the Spring and assuming full responsibility afterward.

The Coordinator will be highly organized and able to respond quickly to emerging opportunities and challenges. The Coordinator will possess a high degree of technical and project management skills as well as a keen sense of hospitality, confidentiality and professionalism. The Coordinator will play a vital role with the Associate Vice President and Advancement team, preparing for and executing a successful Homecoming & Family Weekend in September, other Summer/Fall events, and general support toward a thriving relationship between the Guilford College Alumni Association, current families and the College in promotion of positive and successful outcomes.

Duties and Responsibilities

Coordinate with alumni volunteers on planning, promoting and follow up for Homecoming & Family Weekend.

Execute all aspects of planning and logistics for Homecoming & Family Weekend, First Year Orientation and Move In Day.

Additionally, the Coordinator will manage alumni and parent volunteers on planning committees for these major events.

Manage registrations

Work with vendors and carry out the financial requisitions

Coordinate with colleagues in Conferences & Events, Catering, Public Safety, Campus Life and Athletics

Write and edit communications to promote events

Create and distribute post-event surveys
Coordinate with Advancement team members for additional support
Collaborate with Annual Giving staff to prepare for the launch of a new Student Alumni Association

Serve as project manager for alumni online community

Write and edit communications in support of the Office of Alumni & Parent Relations, the Alumni Association, and for overall engagement of alumni and families. Content will be used for, but not limited to:
alumni online community website
social media pages
email marketing
direct mail/print pieces
online calendar

Manage daily office functions including budget management, requisition, purchase order preparation and follow through

Communicate effectively and innovatively with a wide range of constituents

Perform other duties as assigned

Minimum Qualifications

A bachelor’s degree from a four-year regionally accredited institution

Two to four years of relatable experience, specifically with regard to event planning.
