General Summary of Position:

The position provides business operations support to the department. The position has strong customer service functionality and requires extensive computer and financial skills to manage the payment of university utilities. The Facilities Business Operations Assistant will perform a variety of administrative tasks, including managing phones and emails, receptionist duties, scheduling calendars and planning and organizing meetings. They must be able to visualize the big picture independently with minimal supervision and direction, anticipate needs of Facilities staff, and work well with a range of personalities. Strong organizational, communication, multi-tasking, and proofreading skills are essential. This is a broad-based position that provides support of multiple personnel including the Associate Vice Chancellor of Facilities and the Directors of Planning and of Business and Administration Affairs.

The department of Business and Administration Affairs is responsible for providing comprehensive day-to-day support to the complex business functions necessary to support the Facilities Management Department which includes the Associate Vice Chancellor and the offices of Planning, Project Management and Operations and Services. The Facilities Service Center is included in the Business and Administration department.

Minimum Qualifications (Required):
  • HS diploma or G.E.D./equivalent
  • 5 years experience providing administrative support
  • 3 years' experience providing support to senior-level managers
  • Demonstrated experience with computer software including word processing, spreadsheets, database systems.
  • Ability to work well with all levels of management, staff and vendors
  • Strong organizational skills

Additional Considerations:
  • Experience with PeopleSoft and R25 system referred
  • Experience in Accounts Payable including utility payments
  • Demonstrated ability to consistently meet daily, weekly and monthly deadlines
  • Demonstrated ability to write well and spell accurately
