Job Duties: The incumbent possesses a thorough understanding of the strategic vision and mission of the School of Dental Medcine and the operational details and policies and procedures for all areas within the school. The incumbent participates in all phases of planning, coordinating, and carrying out the administrative functions required by the Office of the Associate Dean for Extramural Clinical Practices and represents the Associate Dean in external, as well as internal, relationships. The incumbent problem-solves and establishes priorities in response to requests from faculty and Business Managers from eight Community Service Learning Centers (CSLC's) and East Carolina University School of Dental Medicine key administrators. This position coordinates and tracks projects to ensure that projects are completed satisfactorily and in a timely manner. The incumbent manages the schedule for the Associate Dean for Extramural Clinical Practices, balancing the many demands that are placed upon the Associate Dean's time with the requirement for adequate time for the Associate Dean to prepare for meetings, complete essential administrative tasks, and respond to phone calls and emails. The individual in this position maintains flexibility and realigns priorities on short notice to accommodate scheduling requests from the Associate Dean, and other key administrators and faculty, both internal and external to the University. The incumbent identifies topics and prepares agendas for various meetings, and monitors, attends, and prepares minutes for these meetings. In order to accomplish the above tasks in an effective and efficient manner, the individual in this position must organize and prioritize the various projects and responsibilities that are within the purview of the School of Dental Medicine. The incumbent will be required to coordinate an array of various projects on a daily basis related to Budget, Clinic Schedules, and any special projects for the Associate Dean for Extramural Clinical Practices. Interactions with Faculty, Accountants, and other Department staff and inter-departmental staff will be required. The position would represent and/or speak for the Associate Dean in areas such as discussing faculty schedules and budget related issues as they arise. The incumbent will monitor budgets along with monthly production goals for eight Community Service Learning Centers (CSLC's). This will require the use of AxiUm to pull data to chart and graph production by provider (must be proficient in Excel). This individual will also have oversight of the Quality Assurance & Quality Improvement activities (medical emergency drills) of the CSLC's and assist in initial accreditation with American Association of Ambulatory Health Care.
