Position Information  

This is a Full-time, permanent (probationary) position.

The salary range for this classification is: $2,846-$4,852 Monthly.  

Conditions of Employment

Department: Mervyn M. Dymally African American Political and Economic Institute

The mission of the Mervyn M. Dymally African American Political and Economic Institute (MDAAPEI) is to influence public policy debates through on-going academic and community research dealing with African American political and economic development concerns in California; explore and document the professional lives and achievements of African American public-elected officials, business leaders, and policy makers as well as the impact of their efforts on the political, social, and economic development in the African American communities and other disadvantaged communities; and provide training programs for current and future leaders and local businesses.  

Major Duties  

Under general supervision of the Executive Director, responsibilities include providing support for the daily operations of the Mervyn M. Dymally African American Political and Economic Institute (MDAAPEI) and responsible for coordinating the administrative activities, including contact with faculty, students, and outside constituents to maintain the integrity of the office.  Responsibilities include, answering telephone and in person inquiries, providing clerical and administrative support to the Executive Director, organize and coordinate arrangements for MDAAPEI meetings and events, as well as on and off-campus appointments, conferences, and other institute related activities.  

Qualifications  

Required Education: High School Program, technical/vocational program or its equivalent.

Required Experience: Several years of related office experience, equivalent to 3 years of experience.

Required Knowledge, Skills, and Abilities:

Knowledge of:
The successful candidate will have good English writing skills, excellent interpersonal skills and be extremely well-organized with attention to detail and thorough knowledge of office methods, procedures, and practices.

Ability to:
Understand and apply as directed  a variety of policies and procedures; perform clerical work involving  independent judgment, accurately and expediently, follows and explains clearly established policies and procedures; maintain confidentiality; be flexible; apply discretion and initiation in performing clerical work of average complexity; draft correspondence, ability to develop and maintain cooperative working relationships, and operate standard office machines.  Ability to organize and prioritize assignments. Ability to explain clearly various policies and procedures to faculty, other members of the campus community and the public.  Ability to initiate and draft clear and concise memorandum and other correspondence.  Ability to manage details of multiple projects simultaneously. Ability to learn technical skills as pertaining to website and electronic newsletter (and the like) maintenance and design. 

Skill in:
Proficiency in Microsoft Word, Excel, Access and PowerPoint, Prezi and Outlook.  

Responsibilities  

50% - Responsible to make all arrangements for institute events, including arranging meetings, checking schedules, securing outside venues and rooms within the institution; order and confirm all food supplied at events; serve as staff for all institute events (e.g. management of registration, materials, setup, etc.).  Maintain tickler files for events; coordinate the photocopying and assembly of all packets and handouts for events; prepare and process all visitor attendance; responsible for photographing events; coordinate the preparation, distribution and collection of evaluation forms for events.

20% - Lead student employees in day-to-day operations of the institute: interact with administrators, faculty, technology staff related to Institute services; responsible for establishing systems as well as maintaining and tracking MDAAPEI resources/ materials

15% - Develop/maintain content on MDAAPEI website, MDAAPEI social media sites,  newsletter, and event calendar; work with IT to develop electronic registration for all events; maintain an electronic database of event elements.

10% - Monitors expenditures of annual budget and other resources allocated in support of the Center; process check requests, purchase orders, speaker fees, and balancing the general ledger; Develop/maintain electronic filing system for all records.

5% - Other duties as assigned by Director.
