- Implement policies and procedures dictated by the Program Director, ensure student compliance with directives, i.e. monitoring attendance, productivity, time management, infection control procedures, etc.; periodically review the charts of patients assigned to each student in ensure that the progress notes reflect treatment in progress, coincides with an approved treatment plan, and checking for missing or incomplete entries; ensure maintenance of patient records in an organized manner; supervise the assigning to students to ensure a comprehensive mix of cases which are consistent with the educational needs as dictated by the discipline coordinators; supervise the scheduling of appointments for screening, emergency and regular visits for all Program participants- including instructing students on the use of computerized scheduling, reviewing their daily schedule of appointments to ensure optimum use of clinic time, oversee data entry to ensure that it is complete, accurate including patient pool assignments and transfers, patient registration, treatment, and student clinic grades and source documents are well organized; compile information for inclusion in various reports.
- Hire, train and supervise the daily work assignments of appointments/reception/records staff and dental assisting staff assigned to the Program; prepare annual performance evaluations and maintain attendance records.
- Assist the students with problem patient payment cases and ensure that laboratory work is not started or completed until appropriate payments have been made. Investigate and attempt to resolve any patient complaints related to payment issues. Explain program requirements and billing procedures. Assist the students with setting up payment plans for their patients and ensure that the plans are met as the treatment progress toward completion. Review monthly reports of patient account balances and work with the students to assist with collecting monies for completed treatments. Instruct the students on how to complete third party claim forms; monitor patients' Medicaid eligibility and threshold visits to ensure that requests to exceed the limitations are submitted in a timely manner; liaison with third party carriers to ensure prompt payment, etc. Make recommendations and institute changes to enhance and better facilitate patient payments.
