Job Summary

As the Administrative Assistant to the IT department the individual in this position will be responsible for helping the department be as effective as possible. Responsibilities will include: making appointments and keeping the calendar of the CTO; answering phone calls; assisting in making travel arrangements; preparing correspondence; getting agenda items and taking the minutes of a variety of meetings; scheduling Director's meetings and IT All-Staff meetings; maintaining personnel files (many of which will be confidential); ordering office supplies for the department, paying select monthly bills, and a host of other administrative duties as needed. This position will also be responsible for overseeing the scheduling of physical spaces used by the IT professional staff.

The individual will have a wide range of responsibilities that are aligned towards optimizing the operations of IT through relevant and informative communications and outreach. The individual will edit, and disseminate timely information within the department and beyond IT to the rest of the campus community. This will include primary responsibility for the creation of IT publications, including IT New Employee handbooks and the IT Annual Report, In addition, the individual will provide primary oversight and editing of the IT departmental website and IT social networking outlets such as Facebook/Twitter. This individual will also be responsible for maintaining the IT website so that it meets current web accessibility standards, which will require a working knowledge of the most recent WCAG standards. This position will also facilitate IT responses to important surveys such as the ECAR, MISO, Educause CORE Data, and Campus Computing annual surveys.

This position will also be responsible for coordinating the IT Student employee program. The individual will assist members of the IT department in selecting, interviewing and hiring students for positions, and will be responsible for processing Student Worker paper work and electronic payroll information.

This individual will also have primary responsibility for renewing all of the IT software licenses each year. This person will interact with a lot of disparate IT software providers, with many different IT staff members, and members of the Skidmore community. The person in this position will have to be very detail-oriented, constantly making sure that the license renewals are still needed, that they are correctly dated and are in the correct quantities.

The Administrative Assistant to the IT department will also work with the Assistant CTO, and other IT members as needed, in the testing of new technologies and new features of existing technologies.

Minimum Qualifications

High School diploma or GED with 2-5 years experience. Excellent oral and written communication skills, as well as strong interpersonal skills are a must. This position requires the ability to work both independently and as part of a team. Strong organizational skills are crucial. The ability to maintain confidentiality is also an important piece of this position.

Preferred Qualifications

The person in this position should posses (or be able to learn) a general understanding of information technology.
