Note: This is a full-time (40 hours per week), probationary, non-exempt position

Organizational Description:

The School of Nursing is one of seven departments in the College of Health and Human Services and offers an undergraduate program which leads to the Bachelor of Science in Nursing, a postbaccalaureate School Nurse Services Credential Program, a graduate program leading to a Master of Science in Nursing, a Post-Master's Nurse Practitioner Credential Program, and a Doctor of Nursing Practice program.


The ASA II, under the direction of the department chair, provides moderately complex clerical support to the School of Nursing. The primary role of this position is to assist with clinical issues as listed below. Other activities include maintaining files and records, processing documents and records, gathering data, preparing standard reports and interacting with and providing recommendations for problem resolution. The position will have direct contact with faculty, students, campus staff, healthcare institutions, and members of the community who need assistance.

Position Summary:

	Using the schedule of courses, enter clinical requests into the Computerized Clinical Placement System	Enter preceptor requests into system	Prepare and collect student documents that are required by the clinical agencies (rosters, immunization information, background checks, drug screens, fingerprinting, etc.)	Prepare, transmit and record agency contracts	Review database for expiring contracts that need to be renewed and initiate new contracts as needed	Responsible for Preceptor/Agency binder	Distribute student evaluation of preceptor forms to the graduate students and maintain database for same	Responsible for BRN upload of graduate transcripts	Update and maintain School of Nursing Website	Responsible for scholarship tracking and reviewSecondary Duties of the job include:

  • Answer phones, assist students, faculty and the public
  • Maintain all student files in accordance with University policy
  • Coordinate administration of Student Evaluations of Faculty
  • Serve as Safety Coordinator for department
  • Organize and prioritize multiple clerical work assignments
  • Knowledge, Skills & Abilities:

    	General working knowledge of applicable university infrastructure, policies, and procedures	Thorough knowledge of office methods, procedures, and practices	Fluency in using standard office software packages (Microsoft Office Suite, email, calendar)	Thorough knowledge of English grammar, punctuation, and spelling	Active problem solving and effective interpersonal skills	Demonstrated competence in effectively presenting standard information in writing	Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructionsAbility to:

    	Learn, interpret independently, and apply a variety of complex policies and procedures	Identify deviations from applicable policies	Apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions	Perform standard arithmetic functions of a transactional nature, including tracking and comparing dataEducation and Experience:

  • Completion of a high school program or its equivalent
  • Two years of experience in an office environment
  • A history of regular attendance, punctuality and positive performance evaluations
