Position Description

Advertised Job Summary

Under the general supervision of the Assistant Dean for Administration, and under limited supervision of the Dean and the Associate Deans, the Dean's Suite Administrative Coordinator is responsible for performing general administrative tasks in the Dean's suite, including: assisting in adjunct faculty hiring; research assistant hiring; assisting in miscellaneous HR tasks; processing invoices and reimbursements; organizing, preparing and processing travel plans and reimbursements for members of the Dean's suite, and the directors of Pro Bono, Experiential Learning and Academic Success programs; ordering supplies for the Dean's suite; serving as the coordinator for ABA, US News and University reporting, and managing the administrative tasks necessary for contracts. The Coordinator serves as back-up for the assistant to the Dean and the Associate Deans and works with other members of the Dean's suite support staff to ensure the suite operates effectively and efficiently at all times. This requires cooperating, communicating, cross-training and working with all members of the support staff team.

Minimum Qualifications (Classified and Unclassified positions)

Bachelor's degree and 2 years related experience in business management, public administration, or administrative services; or equivalency.

Preferred Qualifications

Experience in PeopleSoft and PeopleAdmin preferred.

Knowledge/Skills/Abilities

Individual must be able to maintain confidentiality of private or sensitive matters, must have excellent judgment, and must be able to perform tasks both quickly and precisely. Also, the individual must be well organized, able to work with limited supervision, have excellent written and oral communication skills, must be able to deal diplomatically with various constituent groups (faculty, students, administration, and members of the Bar). The individual must have excellent computer skills and must be or have the ability to become proficient in PeopleSoft and PeopleAdmin. Must be proficient in Microsoft Word, Excel and Powerpoint and Adobe. Must be or become knowledgeable of USC and Law School policies and procedures. The individual must communicate and work together with other team members to provide coverage of all administrative tasks during lunch and leave time.
