Southwestern Michigan College, a two-year college located approximately 30 minutes north of South Bend, Indiana, and approximately 30 minutes from Lake Michigan’s eastern shore is seeking a full-time Student Records Specialist to join the Records Department.

The Student Records Specialist is the primary point of contact for inquiries and visitors to the Records Office and is specifically responsible for representing the Records Office to students, faculty, staff, and members of the public. Adherence to the Family Education Rights and Privacy Act (FERPA), as amended, and all College policies is essential in ensuring the integrity, accuracy and confidentiality of all student data. As needed, this position serves as a generalist and works as a member of the team to support the overall operations of the Records Office, which includes administrative support to the Vice President of Student Services.

The Student Records Specialist will provide professional customer service and perform the following duties: process transcripts, student record and course description requests along with other information in accordance with FERPA and College policies. Input changes in Banner including, but not limited to, FERPA status, change of address, curriculum variances, and emergency contact updates. In addition, this position will assist the Registrar and Assistant Registrar with student registration, by processing schedule change forms and withdrawal documents. The position will support all Commencement activities on the day of, and prior to, including, entering graduation applications and cap and gown orders.

The Student Records Specialist will successfully implement new technologies and processes to encourage continuous improvement within the department and track and monitor the progress of issues through to their resolution.

Perform all other job duties as assigned by the Registrar or Vice President of Student Services.

Required Qualifications
An earned Associate’s Degree from an accredited institution. Strong interpersonal, verbal, and communication skills that include the ability to understand and follow oral and written directions. Meet scheduled deadlines and timelines by planning ahead and organizing work. Perform detailed work, while maintaining professionalism and confidentiality; with the ability to multi-task and perform duties with minimal supervision in a demanding environment with constant interruptions. Accurate keyboard skills and proficiency with Microsoft Office, organize and maintain files (including confidential information). Knowledge of applicable sections of state and federal laws and codes and modern office practices, procedures and equipment.

Preferred Qualifications
The ideal candidate will have experience in higher education.
