This position is responsible for providing direct assistance to the Associate Dean of the Network for the Clinical Research and Training (NCRT)/Assistant Dean of the Orlando Regional Medical School Campus (RMSC); provides administrative and fiscal support to the Orlando RMSC.
Provides direct administrative support to the Associate Dean of the Network for Clinical Research and Training (NCRT), the NCRT faculty and staff, and the RMSC Assistant Dean. Initiates meeting requests; maintains calendars, coordinates Dean’s travel arrangements, completes University travel authorizations and reimbursements in accordance with University policy, screen calls, completes and other clerical tasks. Maintains an awareness of all campus functions and activities.
Coordinates recruitment and credentialing of Orlando campus community clerkship faculty; reviews applications and CVs for medical specialty and board certification; verifies licenses, board certifications, and clear disciplinary record of physicians; identifies and refers candidates with atypical circumstances to campus administrator; tracks and routes faculty appointments through approval process; inputs appointments into university systems; collects credentialing data and compiles monthly recruiting reports; communicates with applicants on status and items required; and verifies and approves teaching payments for clerkship faculty. Responsible for the re-credentialing of clerkship faculty to be sure they have met the reappointment requirements. Coordinates requests for promotion of clerkship faculty by tracking requests through the review process and communicating status to faculty.
Analyzes and makes recommendations to campus administrator regarding operational needs relating to the Orlando campus resources, workflow, and staffing. Responsible for coordinating staffing schedules to insure office coverage is maintained for weekly evening meetings and events while minimizing overtime liability. Responsible for assignment, distribution, and activation or deactivation of campus security access cards, keys, and parking assignments. Coordinates building maintenance needs with building owner and schedules building and equipment maintenance using approved vendors.
Serves as department representative for the CRN, working closely with the Senior Administrative Specialist for Research & Graduate Programs, for all finance and administrative activities, acting as first point of contact for transactional accounting and human resources needs, including faculty AOR, Evaluation, and FACET process.
Miscellaneous duties as assigned to support other Orlando campus staff with faculty development, exam proctoring, meeting planning assistance, maintaining adequate office supplies and postage, and back up phone support.
High school diploma/equivalency and four years experience; or a combination of post-high school education and experience equal to four years.
Experience demonstrating effective customer service skills.
Experience communicating effectively verbally and in writing.
Experience establishing and maintaining effective working relationships.
Experience gathering, interpreting, reporting, and/or editing information.
Experience performing accurately in a detail oriented environment.
Experience performing basic mathematical calculations.
Experience prioritizing, organizing, and performing multiple work assignments simultaneously.
Experience with Microsoft Word, Excel, and Outlook or other comparable computer applications.
Experience maintaining accurate records and retrieving files from active or archive sources.
This position is located in Orlando, Florida.
This is an USPS (University Support Personnel System) position.
