The Registration Specialist (“RS”) works under minimal supervision and has independent judgment and discretion in the daily day-to-day functions of the office, including registration, grade release, course evaluations, and processing transfer credits.

The RS serves as the gatekeeper for student academic files to ensure campus is compliant with Family Educational Rights and Privacy Act.

RESPONSIBILITIES:

Customer Service

The RS will be one of the first points of contact with students, faculty administration and general public. Will confer with customers by telephone or in person to provide information or obtain details of issues that may arise. The RS will be responsible for following up on any inquiries and notify the customer of the findings/results and any planned adjustments. Provide notary services to students, faculty and staff. Will verify current and previous enrollment requested by law students as well as any law degree inquiries. Will provide support for processing registrar related forms including but not limited to pass/fail request, 17+ credit request, exam conflict request, name change request etc. Will prepare communications to be sent on behalf of the registrar to law students informing students of upcoming deadlines, scheduling changes and other important information as it relates to the Law Registrar’s functions. Will assist with the preparation of registration materials, pre-registration add/drop, oversight and probation registration and other activities related to the registration process.

Course and Curriculum

Responsibilities include effectively assisting and advising student, staff and faculty inquiries by interpreting policy and procedure as it relates to course and curriculum; this involves the RS evaluating the necessary transfer work, posting of transfer courses and substitutions into the Cane Link system; these issues require using judgment and discretion for each situation may be unique in nature.

The RS will be responsible for collecting, and interpreting data for the continuous evaluation and revision of academic programs (i.e. The RS sets up all courses for registration in Cane Link this requires analyzing and evaluating which courses will be offered during the semester based on student enrollment trends.

Additionally, the RS will also be in charge of managing the course catalog numbers and assigning new numbers/retiring course numbers when necessary in accordance with office policy. These responsibilities necessitate very careful attention to detail to ensure all information is complete and accurate.

Degree Progress Report (DPR)

The RS maintains relevant records including databases for various reporting purposes. The RS performs research, analyzes results, and prepares summary reports as needed. (i.e prediction of when students will graduate and aid in the early identification of students at risk to not graduate.

The RS establishes and maintains the Degree Progress Reports (DPR) in CaneLink. This includes ensuring that all degrees, joint degrees, certificates, and concentrations have working DPRs, the DPRs are accurate and are updated each semester.

Grading

The RS will assist with the graduation process including confirming degrees, determining eligibility for graduation.

The RS will also work on processing anonymous grading forms, returning final grading sheets to faculty and validating grades to ensure compliance with any relevant curve. The RS will also assist in uploading grades to CaneLink following the appropriate Law School anonymous grading, upload and release procedures.

Transcript Processing

The RS be responsible for managing the official transcript ordering processing process in coordination with the main registrar and Credentials. This may include printing transcripts for validation, working with other staff members to release transcripts and troubleshooting holds that may prevent a transcript from release.

The RS will also work with the Associate Registrar and main campus registrar to correct and conversion errors to ensure accurate transcript transmission.

Other Tasks As Assigned

The RS will be responsible for tasks assigned by the Assistant Dean for Academic Affairs, Registration and Student Services. This will include exam reconciliation, scanning/managing the scanning process, processing of registrar forms, managing individual course exam information memos, processing course awards and other tasks as assigned. This may also include some data reporting.

Skills, Knowledge and Abilities:

  • Working knowledge of Word and Excel essential.
  • Knowledge of Canelink system in order to proficiency run and interprets reports related to course and curriculum which may include teaching loads, enrollment counts and waitlist analysis.
  • Knowledge of the Law School course programs.
  • Excellent oral, written, organizational, and interpersonal skills, with a strong customer service focus required.
  • Ability to critically assess customer inquiries, effectively use insight, judgment, knowledge and provided resources to determine resolution, required.
  • Ability to interact professionally with all levels of faculty and staff required.
  • Ability to exercise independent judgment
  • Ability to be detail oriented detail in all documentation is essential in maintaining the high degree of accuracy, discretion, confidentiality and integrity with student records.
  • Ability to learn and adapt to new technology platforms including Microsoft Sharepoint, Google Document Applications, CaneLink (new University system) and Oracle Business Intelligence Data Warehouse product.

EDUCATION AND EXPERIENCE:

Bachelor’s degree and 1 year of related experience in professional/academic setting within registration/enrollment department preferred. Equivalent combinations of education/experience may be considered. Must have excellent communication skills both (verbal and written). Excellent customer service skills required. Proficient knowledge of WORD, Excel, Microsoft outlook.
