The Library Assistant will report the CHC Librarian and will staff the Cuban Heritage Collection’s reference desk, supervises the CHC Reading Room. The Library Assistant will also assist with donations, back-office work, and the acquisition of books, periodicals, and other materials. RESPONSIBILITIES & DUTIESPublic Services (70%)
  • Staffs the Reading Room service desk and attends to visitors.
  • Instructs and enforces the rules and regulations to using the Reading Room and maintains security of CHC Materials, and ensures that these are followed by all users.
  • Assists visitors in registering with and using AEON, the Library catalog and finding aids, and other research resources, such as databases and digitized collections.
  • Provides first-line reference assistance at the reading room desk and refers queries to the appropriate faculty/staff for follow up and consultations.
  • Coordinates with CHC Librarian and Archivist the work of student assistants, helps keep track of student hours worked and acts as a second approver of student hours worked
  • Coordinate the retrieval of materials from the collections area for use by researchers and supervises the tracking and re-shelving of materials.
  • Assists patrons in the use of requested materials in the Reading Room, including the handling of rare books, periodicals, maps, and manuscript materials
  • Receives and directs walk-in, email, and telephone inquiries and requests and maintains a database of queries for internal use.
  • Manages the release and subsequent receipt of CHC materials to Inter Library Loan (ILL) and Digital Production departments
  • Processes requests and facilitates payments for photocopying and digital reproduction services.
  • Drafts acknowledgement letters for donors and other correspondence.
  • Prepares service and usage statistics on research requests, Reading Room use, CHC teaching, and tours, periodically.
  • Helps coordinate CHC space use through internal UML calendars.
Acquisitions Services (30%)
  • Assists in the receiving and processing of donated and purchase acquisitions of books and serials, including the supervised use of ALMA and OCLC.
  • Communicates with potential donors of book and serials donations and passes information to the CHC Librarian for follow up.
  • Assists with the identification and management, donation, and disposal of duplicate CHC materials.
  • Creates brief bibliographic and item records in Alma for all purchased materials and all donated books.
  • Assist with CHC’s ongoing collection of periodicals, including inputting holdings in card catalog, housing, and shelf maintenance.
  • Communicates with CHC faculty and staff and UML Preservation Department for the processing and preservation of CHC materials.
  • Ensures that materials are handled and stored following accepted preservation practices.
  • Trains and supervises assigned student assistants.
  • Assists with the preparation of CHC instructions, classes, and exhibitions, as assigned.
  • Assists with special projects as assigned, including stacks maintenance, digital and bibliographic projects.
  • Communications, Relationships, and Service (Applicable towards all duties)
  • Maintains helpful and supportive customer service behavior with all library customers.
  • Establishes effective interdepartmental relationships to increase unit effectiveness and disseminate information.
  • Communicates frequently and effectively with CHC staff and other departmental staff or administration in a timely manner regarding procedures, policies, and other necessary information.
Performs other duties as assigned CURRENT QUALIFICATIONS
  • Bachelor’s degree
  • Bilingual in English and Spanish (written and spoken)
  • Proficient in Microsoft Office programs
  • Proficient in using Library software including AEON and ALMA
  • Knowledge and experience of library practices and procedures
