About the Position

The Administrative Support Coordinator II provides general office support functions to the Department of Computer Science. Reporting to the Chair of the Department of Computer Science, and working independently, under general supervision, the Administrative Support Coordinator II performs moderate to complex administrative support duties for the department chair, administrative staff, students, and faculty.

Responsibilities include but are not limited to the following:

-Supports, maintains and configures all aspects of the Computer Science website, related web applications, and repositories, such as OUCampus, WIKI, and Google applications.
-Maintains website site content design; supports Chair and Academic Coordinators with content, web pages and forms for sites inside and outside the content management system.
-Coordinates and is responsible for all online and digital resources in the Department of Computer Science, including department websites, WIKI and Google files.
-Assist with the Department's online presence, coordinating social media information, etc. as needed.
-Automates online surveys, questionnaires, assessment data collection and analysis.
-Assists Chair, Academic and Assessment Coordinator with analyses, report preparation and dissemination.
-Assists Chair and Academic Coordinators with digitization of advising forms and documents
-Maintains records of accomplishments in an online database, prepares publicity documents and reports to Chair, Dean Office, faculty and students.
-Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
-Researches and develops resources that create timely and efficient workflows.
-Responsible for recording and submitting student grade changes.
-Provides ongoing support to faculty members and Chair, prepares and maintains faculty office hours list; prepares and distributes textbook order forms, places course materials on reserve; maintains and audits syllabi files.
-Responds to student and faculty questions pertaining to campus services and resources and general academic policies and procedures including forms and petitions.
-Maintains the Chairs and Academic Coordinator's advising schedules. Administer online scheduling.
-Processes RSCA and other research expenses and reimbursements; ensures the currency of the online award records; prepares quarterly reports to faculty and Chair.
-Maintains digital archives of documents and supporting records related to the assessment of academic programs and ABET accreditation.
-Maintains department mailing lists, including undergraduate and graduate student lists.

Education and Experience

Completion of a high school program, technical/vocational program, or their equivalents combined with three years of related office work experience.

Preferred Qualifications

-BS in related field
-Demonstrated experience with modern graphic and web design, HTML, Javascript, database administration
-Minimum of 1 year of web design, event planning and administrative experience

Knowledge, Skills & Abilities

-Demonstrated experience using modern website development languages, frameworks, and coding techniques, such as Javascript, CSS, and HTML knowledge
-Experience with event planning and management
-Thorough knowledge of methods, procedures and practices; English grammar, business writing, punctuation and spelling.
-Ability to compose and appropriately format correspondence and reports.
-Excellent knowledge of software applications: word processing, spreadsheets, database management, Google apps and cloud-based shared storage.
-Ability to perform accurately in a detail-oriented environment.
-Ability to handle multiple work priorities, organize and plan work, events, and projects.
-Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies.
-Ability to quickly learn and apply a variety of state, federal, CSU, and SJSU policies and procedures.
-Strong oral communication skills. Must possess excellent customer service and public relations skills.
-Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
-Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
-Working knowledge of operational and fiscal analysis and techniques.
-Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
-Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
-Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
-Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
