Position Summary: Under administrative direction, the Assistant to the Registrar oversees and executes the administrative functions of the Registrar: maintaining the Registrara€™s website and NSLC, send out communication on behalf the Registrar, assisting the Registrar with oversight of class scheduling, tracking/reconciling office expenses and work in the Ellucian/Colleague System. This position involves a high level of decision making discretion. Adhering to and maintaining confidentiality, is essential to this position. Essential Responsibilities 75% Office duties: a€¢Greet students and all other visitors at the front office counter, make appropriate referrals to internal office staff or external offices, and answer incoming calls on multiple lines. a€¢Coordinate room requests for professional staff through 25 live a€¢Compile monthly reports (narrative and metrics) submitted for review by the Registrar a€¢Coordinate timesheet collection for the Registrara€™s Office a€¢Primary Content Management System website content editor, monitor and maintain updated information on the public, internal and Clearinghouse websites. a€¢Ensure incoming documents to the office are scanned and distributed a€¢Maintain effective relationships with staff in GSU office to ensure proper processes are accurate. a€¢Review and maintain Registrara€™s Office procedures documentation a€¢Review, maintain and update Registrar Office forms. a€¢Release registration holds as appropriate a€¢Assists with late registration. a€¢Creates and sends email communications on behalf of the Registrar to the GSU community, around deadlines, start and end of term emails, academic suspension, and probation. a€¢Assists the Registrar with oversight and troubleshooting the academic calendar, and collaborating with academic units to ensure accuracy of course sections are within established policy. a€¢Assists in the management and enforcement of the immunization policy. 15% Budget Management and the Universitya€™s administrative and student record keeping software program a€¢Work with current budgets a€“ track spending on Excel a€¢Manage the requisition and PO process in conjunction with procurement guidelines a€¢Notify the Registrar of spending patterns and fund availability. 10% Other responsibilities as assigned (e.g., calling students, filing, commencement)

Minimum Qualifications: a€¢High school graduate a€¢Minimum of ten years of work experience supporting administrators a€¢Ability to multi-task in a fast-paced environment, while providing excellence customer service. a€¢Conflict management/resolution skills a€¢Computer proficiency in Windows environment a€¢Experience creating or maintain websites a€¢Ability to work independently and troubleshoot a€¢Ability to complete multiple tasks and high volume of work a€¢Ability to produce various written work such as memorandums and emails. a€¢Experience working with a student information system.

Preferred Qualifications: a€¢Bachelora€™s degree a€¢Three years of experience working in the admissions or records/registration or higher education a€¢Experience with Ellucian Colleague a€¢Experience with Lexmark (formerly Perceptive/Image Now) a€¢Experience with WebCMS a€¢Experience with 25 Live a€¢Knowledge of Family Educational Rights and Privacy Act (FERPA) as it relates to the release of records.

Work Schedule: Standard work hours are Monday, Tuesday, Wednesday, and Friday, 8:30 a.m. to 5:00 p.m. with a 60 minute (unpaid) lunch, rotating Thursday, 10:30am to 7:00 pm. Additional evening schedules are required during peak times, and an occasional weekend (Commencement).
