The University of Miami Miller School of Medicine's Department of Continuing Medical Education has an exciting career opportunity for a Program Marketing Coordinator. This position is responsible for planning and executing the marketing for educational activities, such as symposiums and courses, for physicians and other healthcare professionals to ensure compliance with the Accreditation Council for Continuing Medical Education (ACCME) and Pharma industry guidelines. Specifically, the duties and responsibilities for this position may include, but are not limited to, planning and coordinating Continuing Medical Education (CME) symposia and courses from inception and evaluation to completion of final reports; planning and coordinating the design of brochures, e-blasts and websites, exhibit prospectus, signage, course collateral, any promotional and marketing materials for CME symposia and courses; preparing documentation for program review at CME committee meetings to include needs assessments, learner objectives, disclosures, and budgets; staying abreast of ACCME guidelines and essentials; assisting in preparing the ACCME annual report; staying abreast of software platforms such as Cvent and social media resources to promote and market CME symposiums and courses; recording detailed course expenses and income to ensure fiscal success; assisting with hotel contract negotiations; preparing and distributing exhibit request letters to prospective industry contacts and following-up; and reviewing elements in all promotional materials for compliance with ACCME accreditation guidelines. Other duties and responsibilities may include preparing mailing lists estimates and ordering mailing lists; assisting with preparing media and marketing plans, advertising and web banner ads, both print and online, in trade publications; developing exhibit room floor plans and assigning exhibit space; coordinating and compiling program content for brochures; preparing faculty invitation letters and correspondence; managing speaker requirements, audio-visual needs, housing, transportation, and other needs; managing the on-site registration desk; managing communications with exhibitors and corporate supporters; and producing welcome slides, name tags, syllabuses, sign-in sheets.

The minimum qualifications for this position are as follows: high school diploma or equivalent and at least three years of office experience. Experience as a meeting, conference, and/or event coordinator preferred. Must have a current and valid driver's license. Ability to develop, coordinate, and evaluate program promotional elements that are designed to expand and improve course marketing success. Ability to analyze and evaluate programmatic and administrative activities, make comprehensive evaluations, and prepare detailed reports and recommendations. Ability to establish and maintain effective working relationships with other department staff, service provider staff, client advocacy groups, and the general public. Ability to express ideas and information clearly and concisely, both verbally and in writing. Ability to pay close attention to detail and be goal-oriented. Excellent interpersonal and public relations skills. Excellent organizational skills. Proficiency and experience in using Microsoft Office Suite and Adobe Creative Suite software. Knowledge in using Cvent platform. Ability to coordinate multiple activities at the same time. Strong typing ability. Ability and willingness to move equipment, small furniture, and small boxes for set-up of meetings and conferences. Ability and willingness to work a flexible schedule to accommodate attendance at meetings on weekends and during the week which can include adaptability and flexibility to altering demands and work hours. Typically during the Winter and Spring months, there may be workdays that begin at 6:00 am and continue until 11:00 pm. Certified Meeting Professional (CMP) designation/certification is a plus. Familiarity with ACCME guidelines is also a plus. Any relevant education, certifications and/or work experience may be considered.

Patient safety is a top priority. As a result, during the Influenza ("the flu") season (September through April), the University of Miami School of Medicine requires all employees who provide ongoing services to patients, work in a location (all Hospitals and clinics) where patient care is provided, or work in patient care or clinical care areas, to have an annual influenza vaccination.
